Assistant Director, Alumni Engagement Job
Summary:The Rollins College Institutional Advancement - Alumni Engagement team is seeking an Assistant Director to join their team! This position, aligned with the Rollins College Alumni Engagement Strategic Plan, will provide support for all aspects of the plan - with primary focus on the Early Engagement / Global Network section. This dedicated role will work to create stronger alumni awareness and loyalty with current Rollins students and recent graduates (alumni graduating in the past ten years) while supporting the initiative to better engage alumni outside the United States.
The Assistant Director has three primary target focal points:
- Development and execution of a specific recent alumni strategic plan to engage and steward recent alumni and seniors as they prepare to graduate.
- Manage the Rollins Brick Program, which brings in about $30,000 in revenue annually.
- Expand the Rollins Global Network through engaging international students and expanding outreach to international alumni.
The Assistant Director reports to the Associate Director of Alumni Engagement and serves as an integral part of the Alumni engagement team.
Primary Responsibilities: - Develop, deploy, and promote programming for GOLD (Graduates of the Last Decade) alumni that support the alumni engagement strategic plan.
- Develop, deploy, and promote programming for senior students preparing for graduation to increase awareness of the alumni experience.
- Identify opportunities to meaningfully engage international students to prepare them to join the Global Alumni Network upon graduation.
- Manage the Rollins Brick Program which includes directing the marketing campaign, overseeing all incoming orders, communicating with vendors, scheduling at least two brick lays per year, and reporting on annual earnings from program.
- Work with Associate Director to create specific outreach targeting international alumni.
- Relaunch the student club "Rollins AmbassaTARS" in collaboration with the Annual Giving Coordinator; schedule and host monthly meetings with students, actively recruit new members, and develop networking opportunities for members and local alumni.
- Support Alumni Weekend events and initiatives in collaboration with the Alumni Engagement Team; execute events as assigned by Associate Director.
- Develop strong and effective relationships with student-centered campus partners.
- Maintain close working relationships with colleagues from across Institutional Advancement, Rollins Marketing, and other campus partners.
- Collaborate with Annual Giving team on student-centered philanthropic initiatives such as Student Fundraising Challenge, Giving Day, and the graduation chord program.
- Manage and execute annual Graduate Grove Party.
- Develop strong and effective relationships with Rollins Alumni Board members, especially the Early Engagement Committee members.
- Maintain designated budget as determined by Executive Director for early engagement activities.
- Research best practices, current trends, strategies, and services pertaining to engagement of current students and young alumni.
Minimum Qualifications & Education: - Bachelor's degree.
- Experience in higher-ed alumni engagement environment.
- Understanding of international student experience.
- Event management skills.
- Familiarity with budget analysis and/or management.
- Operations and relationship management with both internal and external partners.
Knowledge, Skills, & Abilities: - Ability to manage external-facing projects with revenue-earning goals; accurate reporting of revenue; understanding of financial operational models.
- Excellent planning, project management and organizational skills; understanding of efficient business processes; ability to set and balance multiple priorities and manage time effectively in a deadline-driven environment.
- Exposure to and familiarity with diverse cultures, comfortable navigating conversations with people from a wide variety of backgrounds and demographics.
- Proficiency in employing technology, data management, and analytics to optimize alumni engagement.
- Familiarity with CRM platforms (ie Slate) for tracking alumni interactions.
- Excellent verbal and written communication skills; strong, professional writing skills with an attention to detail; thorough knowledge of business English, spelling, and grammar.
- Multilingual a plus.
- Superior interpersonal skills for meaningful interactions with current students and alumni of all ages.
- Creative and resourceful thinker with strong skills in collaboration and partnership-building. Ability to work independently and as a team player while handling multiple priorities with minimal supervision.
- Flexible, self-motivated, adaptable, and comfortable working in ambiguous and ever changing, fast-paced environment.
- Computer fluency including Microsoft Office Suite, managing multiple email inboxes, Canva usage, excel-based budgeting worksheets, project-management platform (ie Asana),
- A strong desire to learn the unique characteristics and culture of Rollins College and appreciate the passion and expectations of its alumni.
- Ability to handle confidential information, maintain and update files with high degree of accuracy, and sensitivity to the importance of alumni relations.
Work Environment: - Campus-based, customer service role in an office environment.
- Regular use of a computer and databases.
- Employees are required to use their personal cell phones for work-related communications and tasks, including but not limited to responding to emails, attending virtual meetings, and accessing College applications.
- Must be willing to work occasional evenings and weekends for Advancement events throughout the year including alumni/advancement events, Alumni Weekend, and Family Weekend.
