The Graduate Admissions CRM Coordinator - Communications & Outreach is responsible for developing, managing, and executing strategic prospective student communications, recruitment campaigns, and engagement initiatives within the Slate CRM. This position serves as the primary liaison between The Graduate School and academic Graduate Coordinators, supporting programs from initial student inquiry through enrollment. The Coordinator designs GCSU-branded outreach materials, builds and maintains communication plans and campaigns in Slate, and facilitates ongoing customer service for prospective and admitted graduate students. This role also participates in the Graduate Coordinators Committee and Graduate Council, ensuring alignment between institutional recruitment strategies and program-level needs.
Prospective Student Communications & CRM Campaign Management - 45%
Develop, implement, and maintain comprehensive communication plans in Slate targeting prospective graduate students from inquiry through enrollment.
Create, update, and optimize email templates, automated communication flows, drip campaigns, and targeted messaging within Slate.
Use graphic design software (Canva and GCSU-approved tools) to produce branded communications for graduate admissions campaigns.
Monitor campaign performance and engagement metrics; recommend and implement improvements to increase yield and conversion rates.
Coordinate all graduate admissions outreach efforts across student-facing, departmental, and Graduate Coordinator channels.
Support marketing efforts by providing critical demographic and pipeline data from Slate to inform recruitment strategy.
Serve as the primary contact in graduate admissions for creative services.
Manage and coordinate graduate admissions mailings i.e. missing items postcards.
Facilitate the graduate admissions decision and application status process by sending email decision notifications and preparing and distributing mailed acceptance packets, materials, and letters to applicants.
Manage and monitor the graduate admissions Mainstay platform (texting and chatbot) on a daily basis to ensure prompt and high-quality customer service to prospective students.
Graduate Coordinator & Stakeholder Liaison - 30%
Communicate graduate admissions status updates to applicants and Graduate Coordinators throughout the review cycle.
Participate as an active member of the Graduate Coordinators Committee and Graduate Council.
Facilitate coordination of graduate admissions efforts between students, academic departments, and the Graduate School.
Assist the International Education Center on communication and outreach strategies for graduate international applicants.
Liaise with the Registrar, Admissions, Financial Aid, and Business Office as needed to support smooth student transitions.
Prospective Student Customer Service - 20%
Serve as a primary point of contact for prospective graduate students, answering inquiries via phone, email, and text throughout the inquiry-to-enrollment process.
Oversee the progress of applicants throughout the admissions funnel, proactively engaging students who require follow-up.
Facilitate day-to-day graduate admissions operations, including document receipt and inquiry management.
Assist with Double Bobcat Pathways outreach and communications in coordination with Undergraduate Admissions.
Other Duties - 5%
Perform additional tasks and responsibilities as needed to support the department and Graduate School initiatives.
Attend events required to support departmental and Graduate School activities.
Educational Requirements
Bachelor's degree from an accredited institution.
Required Experience
Demonstrated experience in communications, student outreach, marketing, or a related field.
Preferred Experience
Experience in graduate admissions, enrollment management, or student services at a college or university.
Experience with graphic design tools such as Canva or Adobe Creative Suite for branded content creation.
Additional Preferred Qualifications
Proficient use of a CRM system (preferably Slate) in a higher education environment for communications and campaign management.
This position is a pay grade 7. The staring salary range is $40,729.00. Starting salary within this range is based on relevant years of experience.

Knowledge of University policies related to graduate student admission, enrollment, and recruitment strategies.
Knowledge of CRM communication tools, campaign design, and student engagement best practices.
Familiarity with Slate CRM, Banner, and Canva; working knowledge of GCSU brand standards.
SKILLS
Excellent verbal and written communication skills, including the ability to craft clear, compelling messaging for diverse graduate audiences.
Graphic design skills sufficient to produce professional, GCSU-branded digital and print communications.
Organizational skills sufficient to manage multiple communication campaigns and stakeholder relationships simultaneously.
Interpersonal skills to build and maintain collaborative relationships with Graduate Coordinators, faculty, and prospective students.
