Job Summary

Reporting to the Dean or Associate Dean, the central focus of the Administrative Assistant II is serving as a receptionist and providing administrative support. This position specifically supports the Dean's Office and the Office of Field and Clinical Experiences to ensure they function efficiently and effectively. This position works in an exciting, fast-paced, and challenging environment that involves multitasking and managing a variety of projects and requests. The Administrative Assistant II must be skilled in organizational, task, and time management. Attention to detail and accuracy are critical. As an integral member of the team, the Administrative Assistant II frequently handles sensitive and highly confidential information and materials and is tasked with responding to internal and external demands.

Responsibilities

Function 1 -
Provides administrative support and assistance to the Dean, Associate Dean, and Director of the Office of Field and Clinical Experiences and Educational Partnerships, including making appointments, scheduling meetings, maintaining calendars and email

Function 2 -
Places, answers, screens, and directs telephone calls, providing information or referral as required

Function 3 -
Assists the public by providing general information by telephone, mail, or in person

Function 4 -
Takes comprehensive meeting minutes

Function 5 -
Manages daily operations of the School of Education including maintenance of office supplies

Function 6 -
Develops and prepares materials for meetings and other events for the School of Education

Function 7 -
Prepares correspondence, presentations, charts and coordinates various activities or events for the Dean, Associate Dean, and Director of the Office of Field and Clinical Experiences and Educational Partnerships. This includes handling of confidential information

Function 8 -
Maintains office files

Function 9 -
Assists as needed with the planning and execution of events including coordinating use of facilities and space on campus and collaborating with campus partners

Function 10 -
Performs other related duties as assigned

Required Qualifications

2 Year/Associate Degree
One or more years of related experience supporting multiple people or departments

Preferred Qualifications

4 Year/ Bachelor Degree
Experience working in a college or university setting

Proposed Salary

$34,800 - $41,700; Salary offer will be dependent on candidate's experience and qualifications, internal equity considerations, budget availability, and salary administration guidelines.

Skills in various software platforms including Banner and Microsoft Office Suite
Skills in organizational, task, and time management
Excellent communication and human relations skills
