Job Description:

The Simulation Program Coordinator is responsible for the daily operations of the SIMPACT department, including comprehensive planning, scheduling, and coordination of simulation-based activities. This role ensures adherence to SIMPACT policies, current simulation best practices, and safety standards. The coordinator provides essential administrative and departmental support, including documentation management, report generation, and interdepartmental workflow coordination to ensure smooth and effective program operation. The role also contributes to broader departmental engagement through participation in student interviews and KCU service initiatives.

Essential Duties and Responsibilities:
  • Manage and maintain the SIMPACT schedule-including OSCEs, simulation sessions, classroom activities, and special events-in alignment with SIMPACT policies and program needs
  • Serve as the primary point of contact for scheduling requests from all entities utilizing SIMPACT (e.g., COM, CDM, PsyD, GME, and others)
  • Coordinate SIMPACT tours and assist with visitor engagement as requested
  • Maintain learner and participant confidentiality while upholding security and compliance standards
  • Participate in faculty and departmental meetings to support the design, planning, and implementation of simulation experiences
  • Collaborate with faculty and staff to ensure simulation activities meet curricular goals and operational requirements
  • Coordinate workflow between departments to ensure efficient communication and task completion
  • Provide administrative support to SIMPACT, including document preparation, communications, data entry, and maintenance of program records
  • Generate, compile, and distribute reports-including scheduling metrics, utilization data, participation records, evaluation summaries, and operational insights-to support program assessment and accreditation needs
  • Communicate effectively with simulation educators, administrative staff, technical staff, and other stakeholders to ensure successful execution of simulation events
  • Contribute to a positive, collaborative, and professional work environment
  • Perform other job-related duties as assigned to support the mission and operations of SIMPACT


Qualifications:
  • Familiarity with PC and Mac platforms with expertise in MS Office Suite, particularly Excel, and the ability to learn additional software programs
  • Minimum two years' experience in office management or equivalent
  • Maintain concurrent memberships in appropriate professional societies
  • Participation in professional development
  • Participation in community outreach programs
  • Strong interpersonal and communication skills (written and oral) to interact with and work effectively with faculty, staff, students, and vendors in a positive, helpful and cooperative working relationship
  • Organizational and time management skills to keep materials in order, track various projects, maintain files, and follow through assignments to completion
  • Ability to create complex schedules
  • Ability to maintain confidentiality of information
  • Ability to quickly learn new technology


Education
  • Bachelor's degree in a related field (e.g. business management) or equivalent experience
  • Knowledge of medical terminology and human anatomy/physiology is a plus


Physical Requirements:
  • Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other equipment including items stored at various levels, including overhead
  • Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting
  • Ability to continuously operate a personal computer for extended periods of time (4 or more hours)
  • Be able to lift up to 20 pounds
  • Be able to sit or stand for up to four consecutive hours without a break
  • Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions
