Classification Pay Scale
In compliance with SB 1162, Western University of Health Sciences is providing a pay scale for this position. The pay scale reflects the minimum and maximum target for new hire salaries for this position. Within this range, the individual pay is determined by a variety of factors, including but not limited to job-related skills, experience, relevant education or training, and work location. Please note that the compensation details listed reflects the base salary only.

Expected Pay Scale
Minimum: $24.00 Hourly
Maximum $28.00 Hourly

Job Summary
Under the general direction of the Site Dean, HCOM, the Clinical Education Affiliations & Faculty Credentialing Specialist is responsible for coordinating the development, execution, and compliance oversight of clinical education affiliation agreements between the College and external clinical partners, as well as overseeing the College's credentialing, re-credentialing, and regulatory reporting processes for campus-based and adjunct/clinical faculty. This role combines contract and compliance coordination for Clinical Rotations with credentialing administration, National Practitioner Data Bank (NPDB) reporting, and Continuing Medical Education (CME) tracking in support of the Department of Clinical Education.

Knowledge, Skills and Abilities
Individuals must possess the knowledge, skills, and abilities or be able to perform the essential functions of the assigned classification, with or without reasonable accommodation(s), using some other combination of skills and abilities. Necessary knowledge, skills, and abilities are as follows:

Knowledge:

  • Familiarity with basic contract language, terms, and clauses, as well as accreditation, credentialing, and regulatory requirements governing clinical education (e.g., NPDB, CME/AOA reporting).
  • Knowledge of clinical rotation coordination and (non-employee) faculty appointment processes.


Skills:

  • Excellent computer skills, including the ability to set up and manage document formats in Word, Excel, Access, and other software required by this position.
  • Excellent verbal and written communication skills, with the ability to interact professionally with administration, faculty, staff, students, and external partners.
  • Strong organizational and multitasking skills, with a proven ability to manage multiple projects and deadlines and handle detail-oriented assignments with accuracy and minimal supervision.
  • Advanced Excel user with the ability to create and manage complex spreadsheets and databases.

Abilities:

  • Ability to work independently under pressure and know when to seek support from a supervisor, while also working collaboratively and cooperatively with diverse units and personalities internally and externally.
  • Ability to provide high-quality customer service and maintain professional communication with faculty, campus administrators, and industry representatives, including regular status updates.
  • Ability to organize and prioritize workload to meet necessary deadlines, and to be flexible with job assignments.
  • Ability to demonstrate a commitment to working in an organization that values and promotes humanism.

Required Qualifications
Education:

  • Bachelor's degree, or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.


Experience:

  • 2–4 years of clerical office experience.
  • 2–4 years of project coordination experience in a large, high-volume setting.

Special Requirements, Licenses, and Certifications:

  • Travel may be required for various trainings, conferences, and/or events in support of the overall objective of the position.
  • This is an in-person position.

Preferred Qualifications
Education:

  • Bachelor's degree in Business Administration, Organizational Management, Legal Theory, or a related field.


Experience:

  • Prior experience with contract management, medical credentialing, or clinical education compliance.

Essential Job Duties
Faculty Credentialing & NPDB Administration:

  • Serve as the designated National Practitioner Data Bank (NPDB) Administrator; process clinical faculty and clerkship director applications by collecting relevant information, verifying clear records, and monitoring appointee activities through external agencies.
  • Oversee re-credentialing of all clinical faculty and track activity for the purpose of promotion in academic rank; update individual clinical faculty database information on a recurring cycle to identify actions affecting suitability to serve.


Financial, Data, Reporting & MSPE Support:

  • Process Clinical Rotations invoices and educational resource requests, verifying accuracy of payments and coordinating with College Operations for timely processing; monitor the department's Rotations budget account and provide budget updates and reports as requested.
  • Maintain databases and external software tracking hospital affiliations, preceptor agreements, and student/faculty records; generate reports for the Clinical Education department and for accreditation purposes; support Medical Student Performance Evaluations (MSPE) by entering and proofing rotation comments.


Affiliation & Contract Coordination:

  • Coordinate the timely setup and maintenance of facility and individual preceptor affiliation agreements for HCOM; serve as liaison in the negotiation of contracts and affiliation agreements for rotation sites and individual preceptors.
  • Track contract processes from initiation to renewal, serve as point of contact for contract-related inquiries, assist students with affiliation agreement requests, and process independent contracts and DBA filings for external partners.


CME Reporting & Compliance:

  • Serve as the designated HCOM CME Reporter, maintaining policies and procedures governing the issuance of CME credits and reporting faculty Continuing Medical Education (CME) credits to outside agencies.
  • Monitor departmental and college-wide compliance with all clinical education regulations and policies by creating and maintaining a compliance timeline, calendar, and database, and serving as liaison between Clinical Education and offices such as the Registrar, Institutional Research, and Academic Affairs.


Special Projects & Confidential Records:

  • Maintain confidential student and faculty files; support the HCOM Office of Academic Affairs with preparation of clinical faculty/preceptor application packets for site visit presentations.
  • Assist with special projects and cross-train with counterpart specialists for overflow support; perform other duties as assigned.
