DefinitionUnder general supervision, the position acts in a frontline capacity in spaces that provide services to students and the community. The position is required to provide effective customer service while assisting students and departmental visitors navigate a department's services. The position is responsible for administering day-to-day clerical duties such as scheduling appointments, clearing registration holds, referring students to District support services, answering phones, inputting information into databases, running reports, tracking of data, and other basic clerical assistance.
This position supports the Deaf Center.
Employment Information- This is a temporary substitute position, limited to a maximum of 165 working days within a fiscal year.
- This position is not eligible for medical, dental, or vision benefits through the District.
- Holidays and vacations are unpaid.
- Sick leave is accrued in accordance with applicable state law.
- Employees who work over 1,000 hours in a fiscal year will be enrolled in CalPERS.
- This position works 10 months per year.
Duties and Responsibilities- Greets departmental visitors to provide information about departmental services;
- Refers students and visitors to departmental and District support services; schedules services as appropriate;
- Schedules appointments for students and departmental visitors to meet with departmental personnel, or to use departmental spaces;
- Enters data into appropriate database to support departmental functions;
- Reviews departmental documentation to ensure completeness;
- Files departmental documents, records, reports, and related materials;
- Conducts basic maintenance for departmental peripheral equipment by scheduling maintenance, scheduling repairs, replacing toner cartridges, and performing other related services;
- Organizes a variety of events such as, but not limited to, staff meetings, special events, and trainings.
- Demonstrate sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of the College's students, faculty, staff, and community.
- Effectively engage and support historically disproportionately impacted groups by addressing issues of equity and improving culturally responsive service-oriented practices.
- Performs related duties as assigned.
Knowledge, Skills, and AbilitiesKnowledge Of:

Skill To:
- Use principles of effective customer service to communicate and assist students and departmental visitors;
- Apply departmental knowledge to answer general inquiries and provide information about departmental services;
- Use appointment scheduling software to make appointments between students and District staff;
- Use knowledge of departmental and District support services to guide students to such services;
- Use data gathering services to run reports;
- Use ERP software to review student records;
- Use general office software and equipment to communicate with District staff, students, and departmental visitors.
Ability To:
- Ensure effective customer service during all interactions that exhibit sensitivity and an understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, District staff, and departmental visitors;
- Effectively guide student to District support services;
- Ensures the accuracy of data that is entered;
- Ensure the proper maintenance of peripheral equipment;
- File documents accurately;
- Communicate effectively, orally and in writing;
- Develop and maintain effective working relationships with District staff, students, and departmental visitors.
Minimum QualificationsHigh School Diploma
AND1 year of work experience providing clerical support
ANDMust have evidence of responsiveness to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, as these factors relate to the need for equity-minded practices.
Desirable QualificationsDemonstrated fluency in American Sign Language.
