The Events Coordinator II, under general supervision, provides central coordination of large-scale university events, conferences, and ceremonial functions. This position supports University Special Events & Protocol by managing event logistics from planning through post-event evaluation. Key responsibilities include oversight of ticket management, RSVP systems, guest lists, and placard/seating coordination, ensuring accuracy, protocol compliance, and high-quality guest experience.
The salary is determined in accordance with the University's compensation structure and will be commensurate with the candidates' education and experience, within the assigned salary range for this position.Responsibilities:- Coordinates all phases of event management, including planning, execution, and post-event analysis. Manages event ticketing operations, including distribution, tracking, reconciliation, and access control. Oversee development and placement of placards, seating charts, and reserved signage in accordance with university protocol. Develops, maintains, and manages RSVP lists and guest databases, ensuring accurate tracking and communication.
- Serves as liaison for on-site event operations; coordinates staff, volunteers, and vendors. Maintains and updates the university's centralized events calendar.
- Coordinates and updates social media for University Events & Protocol. Creates and distributes marketing and promotional materials; develops presentations as needed.
- Maintains the University Events & Protocol website. Identifies and manages guest list constituencies, including VIPs and university stakeholders.
- Oversee guest data systems to support invitations, ticketing, and RSVP tracking. Prepares event reports and departmental communications, including newsletters.
- Performs other duties as assigned.
Required Education & Experience:- Bachelor's degree.
- Two years of related experience in event planning and marketing.
Required Knowledge, Skills & Abilities:- Knowledge of word processing and spreadsheet applications.
- Ability to multitask and work cooperatively with others.
- Strong organizational skills.
- Effective verbal and written communication skills.
Preferred Qualifications: - Three or more years of direct event planning experience in university or higher education setting.
- Experience working with web content management programs such as WordPress.
- Excellent interpersonal skills to establish and maintain relationships with vendors and venues.
- Ability to management events by staying on time and on budget.
- Effective critical thinking and planning skills to address potential scenarios that may have impact on an event and address problems that arise.
- Must be able to maintain a working knowledge of complex needs of a wide variety of events.
Other Requirements:- Work beyond normal office hours and/ or work on weekends.
