College/Department Information

 

Academic Advisement is where undergraduates begin.  Our centralized advisement services are designed to provide comprehensive support as students navigate their way into their respective major programs. Our team of Undergraduate Academic Advisors are well-versed in the undergraduate programs and core curriculum, assisting students in developing academic plans, selecting courses, recommending actions, and connecting them with campus resources as needed.

We work closely with academic programs and support services to help students identify and confirm their academic career paths. Our professional advisors offer ongoing support through various means including outreach services, personal phone calls, targeted emails, and electronic messages.

We have two convenient locations, on the second floor of University Hall (262) on the Summerville campus and the Health Sciences Campus. We are open weekdays from 8:00 a.m. to 5:00 p.m. We offer walk-in hours for quick consultations. Our most up-to-date walk-in hours can be found via the Academic Advisement Center Staff webpage. Advising appointments are required for next term advisement to ensure both the advisor and student are prepared for a productive session. Job Summary

 

This position is responsible for handling a variety of administrative duties requiring the use of independent analysis, critical thinking and a detailed knowledge of institutional and undergraduate academic procedures, and business processes related to the work involved. This position serves as the central point of contact for new, transferring, and dual enrolled undergraduate students and parents seeking Information and direction from the Academic Advising Unit.

Responsibilities

 

The duties include, but are not limited to:

UNIT ADMINISTRATIVE RESPONSIBILITIES:

Provide administrative support to the Director. 

Create reports and gather required information as requested by the Director. 

Maintain unit standard operating procedures. 

Manage department computer and telecom services and inventory tracking of computers and refresh process. 

Prepare department work orders and requests for moving and annual surplus of inventory items. 

Manage access and organization for BOX storage of department documentation. 

Develop publications to support department activities, including newsletters, brochures, and posters. 

FINANCIAL RESPONSIBILITIES:

Reconcile department budget monthly, including purchasing, entering, and reconciling requisitions and IDRs. 

Manage department procurement P-Card activities, including purchasing, entering/allocating, and reconciling with approvers. 

Monitor personnel funding lines. 

Prepare and submit travel requisitions, conference registrations, and annual membership dues. 

Forecast budget in preparation for the next fiscal year. 

STAFF RESPONSIBILITIES:

Coordinate new staff onboarding activities, including access to technology platforms, equipment, and administrative resources. 

Review and approve weekly time for non-exempt and student staff. 

Maintain unit calendar and support documentation to track staff absences, back-up responsibilities, early departures, telework, and flextime. 

Secure technical resources to support staff telework activities. 

ADVISING-SPECIFIC RESPONSIBILITIES:

Serve as the central point of contact for faculty, staff, students, parents, and other units seeking information and direction from the Academic Advising Unit. 

Assist students with general registration and add/drop course issues. 

Provide administrative support for special events, such as Major Fest. 

Perform other duties as assigned.

Required Qualifications

 

Associate's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions, 

OR

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and  six years of progressively responsible experience in administrative support positions.

Preferred Qualifications

 

Exemplary interpersonal skills and the ability to maintain a professional work environment. Ability to manage multiple projects while supervising student employees, answering phone and business process.

Knowledge, Skills, & Abilities

 

ABILITIES
-Knowledge of AU financial/accounting system processes
-Knowledge of P-Card policies and procedures
-Knowledge of Employee Time and Attendance policies and procedures
-Ability to maintain confidentiality and work Independently in a team environment
-Excellent interpersonal, written and verbal communication skills
-Proficient In Microsoft Office and other computer software/databases
-Detail-oriented with strong organizational, prioritization and multitasking skills

Shift/Salary/Benefits

 

Shift: Days; M-F (Work outside of normal business hours may be required)

Pay Band: B2

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment
