POSITION OVERVIEW
Under direction of the assigned supervisor, the Instructional Support Specialist provides advanced administrative and technical support to the Office of Instructional Management; serves as the point person for the coordination and oversight of instructional room management and facilities related tasks within the Office of Instructional Management. This includes organizing room assignments, resolving space conflicts, and developing contingency plans to ensure optimal use of instructional spaces. In addition, the specialist performs a range of activities such as developing, updating and producing college schedules, catalogs, faculty notices of assignment, and related documents. The position utilizes the College's systems to input and maintain data/information and to design and modify instructional publications.

DISTINGUISHING CHARACTERISTICS

An Instructional Support Specialist is distinguished from an Instructional Support Analyst in that an incumbent in the latter class ensures the accuracy and timeliness of faculty pay and coordinates the submission of the Apportionment Attendance Report and other Chancellor's Office reporting.

  • This position primarily performs its duties on the Kentfield campus with occasional travel to the IVC campus in Novato, so if not already residing within the Bay Area, the successful candidate must be willing to relocate.

Essential Functions


The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class.

  • Performs a variety of specialized activities involved in developing, reviewing, updating and producing college schedules, College catalogs, faculty notices of assignment and related documents in accordance with established District policies and procedures.
  • Communicates and works with academic departments to prepare, proof and revise materials such as schedule information and related documents. Compiles, prepares and distributes schedule packets to appropriate personnel; assists academic departments and staff with developing course schedules and identifying and resolving related issues and conflicts; collects, assembles, sorts, files and processes a variety of forms and documents required for instructional support functions; processes and implements schedule changes; reviews documents and information for accuracy and completeness; identifies errors and discrepancies; makes corrections as needed.
  • Inputs and updates instructional schedules, College catalogs and various other information into curriculum management and course scheduling systems and related software; develops and maintains related databases; identifies and resolves discrepancies and assists in resolving scheduling conflicts; modifies and deletes classes from schedules as instructed; reviews and maintains currency and accuracy of catalog and schedule information; assists in ensuring classes and schedules align with established articulation and general education requirements.
  • Assists with the review and reconciliation of faculty course assignments, room assignments, dates, days, hours and other information against schedule printouts and other documents; verifies accuracy of teaching units, budget codes; identifies and resolves discrep­ancies; ensures catalogs and schedule information is up-to-date and accurate.
  • Proofreads, edits and revises schedules, College catalogs and related work such as course descriptions, sections, notes and instructions and adjusts text as needed; processes, verifies and updates schedules and catalogs with new courses, class deletions and instructor changes, room, day and time.
  • Assigns and reserves classrooms for instructional staff, District and department activities and outside uses; develops and maintains online room activity schedules and calendars; prepares and updates room charts and matrices.
  • Assists in the production and publication of the College catalog; works with Marketing and Communi­cations to produce print-ready catalog copy; processes course materials used in updating the catalog; generates supplemental catalog materials.
  • Assists in the preparation of, maintenance of, revisions to, modifications to, and updates to faculty notices of assignment as assigned; maintains data, records, and information related to contracts and assignments; monitors and adjusts contracts in response to teaching units and related changes; computes instructor teaching loads and units; ensures compliance with established limits and requirements; may assist with faculty payroll processes.
  • In collaboration with the Articulation and Curriculum Analyst and Instructional Support Analyst, assists with production of the credit and noncredit schedule of classes, working with Deans, depart­ment chairs and Marketing and Communications to provide essential coordination among areas and managing project and workload schedules.
  • Provides training and assistance to faculty and classified staff division scheduling coordinators, division deans, and others in the development and production of the academic class schedule; maintains and assists with production of training materials including tip sheets, videos, manuals and guides.
  • Provides first point of contact for faculty, staff and administrators in the Office of Instructional Man­agement; receives and responds to inquiries and requests for technical assistance from a variety of sources including academic divisional staff, counselors, articulation personnel in other schools, and students; provides information, facilitating communication among parties and/or providing direction.
  • Supports Dean of Instructional Management to aid with administrative functions; researches a variety of information, composes and distributes department materials, forms and communications required for assigned instructional support functions; reviews documents and information for accuracy and completeness; identifies errors and discrepancies; makes corrections as needed.
  • Prepares and maintains a variety of manual and automated records, lists, reports and files related to catalogs, schedules, courses, instructors, teaching units and assigned activities; initiates computer queries, creates spreadsheets and generates and distributes reports as needed; maintains depart­mental calendars.
  • Fosters an environment that embraces equity-minded practices, integrity, trust and respect. Supports, implements and promotes compliance with the District's Diversity and Equal Employment Opportunity Plan in all aspects of employment and education.

Requirements & Desirables


REQUIREMENTS
Education and Experience:

  • Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be graduation with an associate degree and two years of increasing responsible experience in instructional support including course scheduling; or an equivalent combination of training and experience.
  • Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender, sexual orientation, and ethnic backgrounds of community college students.
Desired Qualifications:
  • A bachelor's degree.
  • Experience in a California Community College.
  • Bilingual skills in a designated second language.
KNOWLEDGE, SKILLS AND ABILITIES

  • Learn standards and requirements for courses, sections, data, coding and information included in college catalogs and schedules of classes.
  • Compose correspondence and written materials independently or from oral instructions.
  • Utilize a computer to input data, maintain automated records and generate computerized reports.
  • Add, modify and delete classes from schedules.
  • Proofread, edit and revise schedules, catalogs and related work.
  • Meet schedules and deadlines.
  • Communicate effectively both orally and in writing.
  • Analyze situations accurately, exercise sound judgment and adopt effective courses of action.
  • Prepare clear, concise and comprehensive spreadsheets, correspondence, reports and other written materials.

CONDITIONS OF EMPLOYMENT
Prior to employment, the selected candidate will be required to complete the following:
  1. In accordance with Federal Law all employees must provide proof of eligibility to work in the United States.
  2. Criminal Justice/Fingerprint Clearance.
  3. California Education Code, Section 87408.6 requires persons employed by a community college in an academic or classified position to submit to a TB risk assessment developed by CDPH and CTCA and, if risk factors are present, an examination to determine that he or she is free of infectious TB; initially upon hire and every four years thereafter.
  4. DISASTER SERVICE WORKERS: All Marin Community College District (MCCD) employees are designated Disaster Service Workers through state and local law (California Government Code Section 3100-3109). Employment with the MCCD requires the affirmation of a loyalty oath to this effect. Employees are required to complete all Disaster Service Worker-related training as assigned, and to return to work as ordered in the event of an emergency. CLASSIFICATION CATEGORY & RETIREMENT PLAN
Employees in classifications represented by the California School Employees' Association (CSEA) Chapter 196 and are required to comply fully with the CSEA/Marin Community College District (MCCD) Collective Bargaining Agreement. General information regarding rights and responsibilities under the Agreement can be found in the Collective Bargaining Agreements section of our Human Resources site. CSEA employees are also members of the California Public Employees Retirement System (CalPERS), to which the member contributes up to 8% of their reportable compensation on a monthly basis.
