Position Summary
Records Specialist 
Registrar's Office
Full-Time

Primary Responsibilities

  • Research and process outgoing official transcript requests
  • Update student records with grade changes, Credit for Prior Learning (CPL) and exam scores
  • Process permanent record updates (address, name change, citizenship, social security number)
  • Evaluate college transcripts including domestic, military, and international transcripts
  • Collaborate with academic departments regarding transfer equivalencies
  • Build course articulations onto student's record
  • Maintain data files in Ellucian Banner, Banner Document Management (BDM) and the Transfer Equivalency System (TES)
  • Monitor multiple departmental email accounts
  • Council and provide customer service to students, faculty, staff and the public via phone, email and walk-ins
  • Maintain a comprehensive understanding of the Registrar's Office and university policies and procedures
  • Provide administrative support as needed to Assistant Registrar for Transfer Articulation


Required Qualifications


  • High school diploma or GED
  • Knowledge of Microsoft Office Word, Excel and Access
  • Demonstrated ability to learn different and new technologies
  • Experience using email programs
  • Excellent organizational skills and attention to detail
  • Demonstrated ability to handle difficult interactions with diplomacy, tact and in a confidential manner
  • Excellent communication skills (verbal, written, and interpersonal)
  • Work history emphasizes an understanding of customer service and reflects an ability to work with high volume of telephone and customer contacts
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Demonstrated ability to synthesize information to make independent decisions with minimal supervision
  • Ability to interact effectively with faculty, staff, students and the public
