Job Summary

 

The Graduate Admissions CRM Coordinator - Processing is responsible for the technical administration, data integrity, and operational workflow of the graduate admissions process within Slate CRM. This position manages application processing, ensures the accuracy of applicant records across Banner, Web Xtender, and Slate, and serves as the primary point of contact for resolving complex applicant data issues. The Coordinator supports compliance with university academic standards, produces regular enrollment and admissions reports, and collaborates closely with the Registrar, Financial Aid, Business Office, and academic departments to facilitate seamless graduate student matriculation.

Responsibilities

 

CRM Administration & Application Processing - 60%
Oversee and manage the end-to-end application workflow in Slate CRM, including application creation, routing, and status updates.

Receive, review, and process graduate student applications and all supporting documentation; compile and maintain complete applicant files.

Maintain accurate graduate applicant data across Banner, Web Xtender, and Slate, ensuring system consistency and data integrity.

Manage Slate forms, events, and portals used in prospective student engagement and recruitment.

Serve as the primary point of contact for Graduate Program Coordinators regarding admissions status, process questions, and application concerns. 

Provide guidance, training, and ongoing consultative support to Graduate Coordinators on Slate use and admissions workflows. 

Manage graduate admissions cases and resolve complex applicant issues in a timely and professional manner.

Oversee and maintain Slate system configuration including email templates, communication plans, targets, forms, and user access.

Assist the International Education Center on graduate international admissions applicants.

Support the Double Bobcat Pathways admissions process in coordination with Undergraduate Admissions.

Consult on software products and integrations used within Graduate Admissions.

Conduct training sessions and provide Slate user support to departmental stakeholders.

Reconcile graduate student data with the Registrar's Office to ensure accurate enrollment records.

Upload and manage graduate admissions name buy data to support prospective student recruitment efforts.

Reporting & Data Analysis - 25%
Generate routine and ad hoc reports on graduate admissions activity, application status, and enrollment trends.

Compile statistical data and perform analysis to support decision-making by the Associate Provost and Director of The Graduate School.

Regularly mine Slate data to report admissions status by program and college.

Support marketing and recruitment efforts by extracting and providing demographic data from Slate.

Ensure report accuracy and timeliness for use by Graduate Coordinators and institutional leadership.

Cross-Functional Collaboration - 10%
Communicate and coordinate with the Registrar, Admissions, Financial Aid, Business Office, and academic departments on graduate enrollment matters.

Liaise with IT and third-party vendors regarding CRM technical issues and upgrades.

Ensure graduate student record compliance with University academic and accreditation standards.

Other - 5%
Perform additional tasks and responsibilities as needed to support the department and Graduate School initiatives.

Attend events as required to support departmental and Graduate School activities.

Required Qualifications

 

Educational Requirements
Bachelor's degree from an accredited institution.

Required Experience
Demonstrated experience with data management, record processing, or information systems administration.

Strong proficiency in database or CRM systems with the ability to ensure data accuracy and integrity.

Preferred Qualifications

 

Preferred Experience
Experience with Slate CRM, Banner, and/or Web Xtender in a higher education environment.

Experience in graduate admissions, records, or enrollment management at a college or university.

Familiarity with FERPA and other regulatory requirements governing student records.

Proposed Salary

 

This position is a pay grade 7. The starting salary is $40,729.00. Starting salary within this range is based on relevant years of experience.

Excellent computer and technical skills, including proficiency with relational databases and reporting tools.

Strong written and verbal communication skills for multi-stakeholder correspondence.

Organizational skills sufficient to prioritize competing deadlines with frequent interruptions.

Problem-solving skills sufficient to diagnose and resolve data and system discrepancies.
