Campus Location: Danvers

Work Schedule: Monday - Friday; 8:00 am - 4:00 pm

SALARY: Anticipated starting salary is $52,021.00 - $54,000.00. Actual salary will be commensurate with education and experience in accordance with the MCCC/MTA collective bargaining agreement. GENERAL STATEMENT OF DUTIES:

Under general supervision, the Transcript Evaluation & Operations Specialist is responsible for conducting evaluations of official transcripts and NSCC credential eligibility, in addition to providing general functions in the Office of the Registrar. The Transcript Evaluation & Operations Specialist is responsible for implementing work activities, preparing/processing documentation, answering questions, providing and distributing information to various NSCC constituencies, and maintaining records. Performs related work as directed.

ESSENTIAL FUNCTIONS:

  1. Serves as primary respondent for the Office of the Registrar inquiries and leads delivery of Registrar services to students, faculty, staff, and the public. Responds to in-person, virtual, written, and phone inquiries. Ensures timely and accurate responses for inquiries. Coordinates staffing to ensure adequate coverage of services.
  2. Develops and maintains communication templates. Develops and maintains relevant SOP documents.
  3. Processes Office of the Registrar forms and ensures accuracy.
  4. Provides information regarding FERPA procedures and compliance to students. Enforces FERPA regulations and reports violations to the Registrar.
  5. Processes enrollment verifications for students transferring from NSCC to other colleges in coordination with the Community Standards office.
  6. Issues official transcripts and standard enrollment verifications. Disburses replacement diplomas.
  7. During peak periods and periods of staff vacancies, provides related task support to Office of the Registrar staff as assigned.
  8. Reviews transcripts of matriculating students and makes decisions about courses accepted as transfer credit. Documents decisions in NSCC systems.
  9. Coordinates with the Office of the Registrar staff to record evaluation decisions and communicate to students in a timely fashion.
  10. Performs transfer credit data entry into SIS.
  11. Utilizes Banner, Navigate, and other tools to document decisions and communicate with students.
  12. Reviews evaluation appeals and performs re-evaluation as necessary.
  13. Coordinates with Division Deans and Program Directors to review transcript evaluation decisions when appropriate.
  14. Updates and utilizes transcript evaluation tools to ensure equity in transfer credit acceptance decisions. Serves as an Administrator for evaluation tools. Troubleshoots issues and supports staff and faculty in use and utilization.
  15. Monitors and processes complete withdrawals. Liaises with Student Financial Services to update records.
  16. Assists with duplicate record review. Processes updates and corrections and notifies appropriate stakeholders as assigned.
  17. Processes College Catalog requests for updates.
  18. Processes course substitution requests. Stores course substitutions in SIS and Degree Works and notifies the student and advisor of approval. Applies approved blanket waivers as appropriate.
  19. Responsible for all NECCUM processing and coordination. Serves as NECCUM representative for the Office of the Registrar.
  20. Serves on committees or ad-hoc working groups as assigned.
  21. Participates in Commencement preparations and activities as assigned.
  22. Performs other tasks as assigned.


SUPERVISION RECEIVED: Reports to the Registrar or designee.

Job Requirements:
  • Bachelor's degree in Education, Psychology, Computer Science, or related field; with 1 year experience and/or training involving college registration, academic advisement, administrative work in an academic environment, general office administration, or personal computer operations; or an equivalent combination of education, training, and experience.
  • Excellent verbal and written communication skills.
  • Must be able to use various electronic platforms to communicate, assist and evaluate students.
  • Must have the ability to work some evening and Saturday hours as needed.
  • Ability to work effectively within a fast-paced, rapidly growing, intense, and multifunctional office environment.
  • Strong organizational and analytical skills.
  • Ability to commute to any NSCC campus for meetings, programs and events.
  • Successful experience interacting with culturally diverse populations.
  • Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.


Preferred Qualifications:

  • Working knowledge of Student Informational Systems desired. Knowledge of Banner preferred
  • Strong knowledge of the community college system working with individuals of diverse backgrounds.
  • Bilingual in Spanish is preferred.
