Salary Range: Commensurate with education, experience, and qualifications.

Job Summary

The Operations Manager provides support to Chief of Staff's effort to manage executive priorities, drive strategic initiatives, and optimize information flow by overseeing daily workflows, meeting administration, event planning and management in order to effectively execute projects, operations, and compliance functions. This role ensures that operational controls, administrative, and compliance reporting procedures are in place.    

Core Responsibilities

  1. Supports the Chief of Staff in achieving its overarching vision and mission.
  2. Works with leadership to establish policies that support the Chief of Staff business strategies, plans, and comprehensive goals for performance and growth.
  3. Coordinates federal contracts and other government and industry agreements, ensuring financial and legal compliance.
  4. Oversees daily operations and provides indirect management of staff in operational and project management and other related roles and fills any operational gaps and works to minimize interruptions.
  5. Manages relationships with partners and vendors to include facilitation of membership agreements, subcontracts and services agreements.
  6. Provides project management support for events and workforce development activities.
  7. Manages and organizes meetings, events, and board meetings with the highest quality planning and execution and supports the day-to-day operations of the Chief of Staff responsibilities.
  8. Manages, plans, schedules, and coordinates detailed phases of administrative matters in support of the Chief of Staff responsibilities.
  9. Monitors training compliance, tracks required training completion, and conducts follow-up with staff offices to ensure all mandatory training and compliance requirements are met. Serves as proxy or stand-in for Chief of Staff in relevant meetings and events when needed.
  10. Coordinates and manages community event sponsorship activities, including receiving and reviewing sponsorship requests, tracking approvals, coordinating logistics, maintaining program records, and ensuring compliance with institutional policies and budgetary requirements.
  11. Participates in operational and financial activities, as required by federal and state requirements.
  12. Performs other duties as assigned.

Required Qualifications

  • Bachelor's Degree in a related field.
  • Five (5) years of related work experience. 
  • Education may be substituted for experience on one for one basis.
  • This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas EO-GA-48.

Working Conditions

  • Office Environment. Ability to travel to and from meetings, training sessions or other business-related events.  After hours and weekend work is required on an occasional basis. Occasionally after hours and weekend work or overtime may be required.

Physical Demands

  • Sedentary work; sitting most of the time. Jobs are sedentary, if walking and standing are required, only occasionally. Exerts up to 10 lbs. of force occasionally.

This position will work both on campus and remotely in Texas. Travel and parking expenses are the employee's responsibility.

This position is contingent upon a successful background check. Verification of a valid driver's license and Motor Vehicle Record (MVR) may be completed as applicable. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
