Job Description Summary
This position will provide high level support to the Vice Chair of Research and Director of Head and Neck Sciences for the Department of Otorhinolaryngology - Head and Neck Surgery. This position will be responsible for coordinating the Vice Chair's complex schedule and multiple calendars. This position will serve as the liaison between the Vice Chair and all internal/external individuals and organizations. Coordinate all travel with other offices and institutions as necessary; manage and maintain a complex calendar of internal and external committee and other professional meetings for the Vice Chair. Compose and proof all correspondence for the Vice Chair's signature; perform other duties assigned.
Job Description
Job Duties/Responsibilities:
Provide administrative support to the Vice Chair's research laboratory, the NIH Program Project, and other programmatic grants. This position will also be responsible for creating and maintaining a website for the research program, assisting with the preparation and administration of multiple research grants, monitoring expenses and regulatory compliance, and coordinating personnel recruitment. Responsibilities also include maintaining deadlines for committees and study sections; providing reminders for due dates of review material to be submitted on time and within submission protocol. Provide support for seminars, visiting seminar speakers, symposiums, and meetings. Prepare and coordinate submission and renewal of IACUC documentation for Vice Chair, Program Project Directors, and lab members. Prepare slides and photographic figures for publication. Complete all Program Project lab purchases and maintain an itemized inventory of Program Project lab supplies. Maintain records of all purchases and reimbursements. Prepare and coordinate the non-competitive renewal submissions for the program project grant budget periods.
Position is contingent on continued funding.

Qualification:
A Bachelor's Degree and 3 to 5 years of experience, or an equivalent combination of education and experience, are required. Must be detail-oriented, highly organized, and written form and outstanding interpersonal skills required. Must have knowledge of Microsoft Office, specifically Word, Excel, and Access.

$55,962.00 - $66,174.00 Annual Rate
Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level. Internal organization and peer data at Penn are also considered.
