Job Summary/Basic Function
The Campus Events Assistant supports the full spectrum of event coordination and execution on campus. This role functions as a generalist, contributing to the entire event lifecycle-from reservations and planning to on-site operations and production. Additionally, the position provides customer service and logistical support for summer camps and conferences hosted at the University.



Minimum Qualifications
  • High school diploma or equivalent and 1 year of experience planning and implementing events
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Customer service mindset with a professional and approachable demeanor.
  • Ability to work flexible hours, including evenings, weekends, and some holidays, as event schedules require.
  • Basic proficiency with Microsoft Office and ability to learn event scheduling systems.


Preferred Qualifications
  • Experience in event coordination, hospitality, or related fields.
  • Ability to work well under pressure.
  • College/university degree (Associate degree minimum).


Essential Functions and percent of time
Event and Camp Support (40%)
  • Assist with intake and processing of event reservations through the university's event management system (EMS or similar platform) for both internal and external inquiries.
  • Collaborate with Campus Events team, faculty, staff, students and community members to execute details and provide on-site support related to assigned events and conferences.
  • Conduct walk-throughs and pre-event consultations to ensure understanding of client needs.
  • Serve as a liaison between clients and campus service providers (e.g., catering, facilities, AV).
  • Provide on-site support during events, including setup, execution, troubleshooting, and tear-down.


Administration (30%)
  • Coordinate table reservation for external vendors on campus.
  • Support event registration for campus events as applicable.
  • Complete formal end-of-summer evaluations that provides comprehensive feedback on areas for improvement and strengths of the program.
  • Prepare, maintain, and process all forms and paperwork accurately and promptly.
  • Monitor events to ensure policy compliance and provide customer service as needed.

Summer Camp Support (25%)
  • Coordinate and process summer camp request
  • Serve as a point of contact for summer camp organizers and participants.
  • Serve as a liaison with university departments to share information related to training requirements for programs with minors on campus
  • Assist with housing check-ins/outs, meal coordination, room keys, and other logistics.
  • Provide welcoming, efficient customer service to ensure a positive guest experience.
  • Coordinate with Campus Services and Residence Life as needed for camp support.
