Job Summary

The Limited-Term Student Support Services (SSS) Administrative Assistant I is an essential member of the federally funded TRIO SSS program. This position will provide and coordinate administrative support for the Office of TRIO Student Support Services programmatic activities, provide welcoming, professional, and confidential assistance to program participants, and perform a variety of administrative, clerical, and data entry duties necessary for the efficient operations of the program. Reporting to the Director of TRIO Student Support Services the Administrative Assistant I plays a key role in ensuring the effectiveness of the department's services, processes, and communication.

This limited-term position is grant-funded over a five-year cycle and depends on the grant's renewal for continuation.

Responsibilities

Assist with student intake and eligibility verification processes in compliance with federal TRIO regulations.

Other duties may be assigned.

Schedule appointments for academic advising, tutoring, mentoring, financial literacy counseling, and other SSS services.

Maintain confidential participant files (electronic and physical) in accordance with FERPA and federal guidelines.

Support data entry and tracking of student participation in required reporting systems.

5 -
Assist with the coordination, setup, and promotion of SSS workshops, cultural enrichment activities, and program events.

Provide front-desk support, including answering phones, greeting students, and responding to inquiries.

7 -
Help monitor and track student engagement and attendance at SSS activities.

8 -
Assist professional staff with preparation of materials, mailings, and reports.

9 -
Perform other duties as assigned to support program goals.

Required Qualifications

High School diploma or GED
1 year of relevant office experience

Preferred Qualifications

Bachelor's or Associate's degree
Experience in Federal TRIO, GEAR UP, CAMP, HEP, or other grant-funded student success programs
Experience planning campus events for various student populations
Experience in data entry, budgeting, and record maintenance skills
Commitment to support globally rich student populations
Bilingual

Proposed Salary

$33,280 - $37,900; Salary offer will be dependent on candidate¿s experience and qualifications, internal equity considerations, budget availability, and salary administration guidelines.

Knowledge, Skills, & Abilities

Ability to create marketing and recruiting material
General knowledge of applicable federal, state, and¿local rules and regulations.
Skill in the use of database systems and Microsoft Office (Word, Excel, Outlook) or equivalent software.
Skill in operating basic office equipment.
Skill in written, verbal, and interpersonal communications and relationship building.
Ability to respond to various audiences in an accurate and timely manner.
Ability to quickly assess the needs and requirements of students.
Ability to maintain strict confidentiality of student information.
Ability to maintain accuracy related to data collection, entry, and reporting.
Ability to create marketing and recruiting material.
Ability to plan, organize, and prioritize work, as well as the ability to pay attention to detail.
Ability to work with time-sensitive matters and meet strict deadlines.
