DESCRIPTION


Otterbein University is seeking an organized and collaborative Coordinator of Alumni Engagement to help strengthen relationships between Otterbein's 28,000+ alumni, current families, and other key constituencies through programming and engagement initiatives. This role supports project and program execution, coordinates events, facilitates communications, and collaborates with internal and external stakeholders to advance the strategic goals of the Division of Philanthropy and Alumni Engagement.

This is a full-time, exempt, administrative position working 40 hours per week, 12 months per year, reporting to the Director of Alumni Engagement. Evening, weekend, and occasional travel may be required to support events and activities.

RESPONSIBILITIES


Engagement Programming and Events

  • Work collaboratively with campus partners to coordinate programs and events for alumni, parents, students, and friends of Otterbein that increase engagement and philanthropy in support of the University's mission.
  • Co-manage the Student Engagement Officer (SEO) Program with the Coordinator of Annual Giving Program, supporting outreach activities including phone, email, SMS, and video communications.
  • Oversee strategy and daily operations of the SEO program, including vendor coordination, inventory and supply management, data requests and uploads, reporting, and analysis of program performance.
  • Recruit, hire, train, and manage 6-8 Student Engagement Officers.
  • Co-advise the student group ACE (Alumni and Campus Engagement) to support philanthropic activities and student engagement with alumni.
  • Collaborate with the Philanthropy and Alumni Engagement team to support alumni volunteers, including scheduling, communication, outreach, and event assistance.
  • Assist with event programming such as Homecoming, reunions, and other signature events.
  • Implement strategies under the guidance of the Director to support giving initiatives in partnership with the Annual Giving team.
  • Partner with the Office of Events & Conferences on event logistics and execution.

Marketing & Communications

  • Strengthen engagement and philanthropy through marketing and communication campaigns.
  • Design and build segmented content for monthly Cardinal E-news, eMarketing campaigns, year-end appeals, and other digital outreach including texting, in coordination with the Annual Giving team.
  • Develop materials aligned with University brand standards.
  • Utilize the division's constituent communication calendar to coordinate outreach across key audiences.
  • Research, develop, and execute social media strategies to expand engagement with alumni, families, donors, and friends of Otterbein.
  • Create and manage event registration and philanthropic giving pages and assist with website content updates.
  • Develop content and materials for Towers magazine, including support for class notes.
  • Maintain proficiency in the division's constituent management database.

Miscellaneous Duties

  • Assist with weekly operations of the Lifelong Learning Community as needed.
  • Maintain accurate records, reports, metrics, and constituent data.
  • Represent the Philanthropy and Alumni Engagement team at meetings and events.
  • Represent Otterbein through participation in professional organizations such as the Independent College Advancement Associates (ICAA).
  • Participate in University governance committees and Staff Assembly functions, as available.
  • Perform additional duties as assigned.

SUPERVISORY RESPONSIBILITIES

  • Recruit, hire, train, and manage Student Engagement Officers and volunteers.



QUALIFICATIONS

Education & Experience

  • Bachelor's degree required.
  • Minimum of two years of professional experience in a related field preferred.
  • Experience working collaboratively with volunteers.
  • Demonstrated ability to manage multiple priorities and meet competing deadlines.
  • Experience in program/event planning and implementation in a college, corporate, or nonprofit setting preferred.
  • Experience with social media engagement and communications.
  • Design experience with Constant Contact, Canva, Adobe Creative Suite, and Microsoft Office Suite preferred.
  • Willingness to work occasional evenings/weekends and travel as needed.

  • Ability to sit for extended periods working on a computer.
  • Frequent interaction with students, faculty, alumni, and community members.
  • Ability to stand or sit for extended periods during events and functions.
  • Maintain regular and predictable attendance.


WORK ENVIRONMENT

  • Work is performed primarily in an environmentally controlled office setting.
