Appeals & Registration Specialist
Job Description Summary:In compliance with FERPA guidelines, this position provides comprehensive support to the student population in matters related to transcripts, registration, and enrollment services.
This position serves as the primary point of contact for appeals to University policy. Additional tasks include supporting the front service window, main phone line, and office email accounts, processing transcript requests, and enrollment verifications. The role also provides general student support and assists with special projects as assigned by the Registrar or Assistant Registrar.
The position requires strong organizational skills, attention to detail, good customer service, strict adherence to confidentiality standards, and the ability to manage multiple priorities in a fast-paced environment.
Minimum Qualifications:- 2 years customer service experience.
- 1 year of office or other clerical experience.
- Demonstrated communication skills.
- Demonstrated critical thinking skills.
- Demonstrated attention to detail and organization.
- Experience with and proficiency in word processing and spreadsheet software.
- Experience with using a relational database.
Preferred Qualifications:- Previous higher education experience.
- Previous experience with a student information system, such as Banner.
- Bachelor’s degree preferred.
- Experience with and proficiency in Microsoft Office Software.
- Fluency in a second language.
Specific Duties:Duty:
APPEALS AND GRADES
- Coordinate, intake, review, and process all undergraduate academic appeals: contact students to obtain missing documentation; monitor approved appeals for payment; maintain log of submitted appeals; prepare agenda for committee meetings; prepare and email response letters; process approved appeals; update Banner comments with appeals information; scan and index appeal documents.
- Assist with the process of university-wide grades; turn the grade submission process on/off in Banner; run missing grade reports; if grades are missing, enter placeholder data into Banner and follow up with faculty to obtain final grades.
- Process official grade changes received from faculty and through academic appeals, ensuring complete accuracy in grading, academic standing, and unit values. Follow up with faculty and deans as needed to request additional documentation or to provide policy classification. Convert expired INC, IP, and NG grades to F or NCR. Work with the Assistant Registrar to make better use of technology in the processing of grades.

REGISTRATION AND RECORDS
- Provide support to students, staff, and faculty in the usage of the La Verne Portal self-service webpage, including navigation and log-in procedures; registration; grading; entering overrides, and giving general instructions on policies, usage and procedures.
- Evaluate, explain, and respond to faculty and student inquiries regarding self-service and manual registration; act as back-up staff for processing directed and independent study courses, quick admit registrations, and grade option changes; understand and articulate University policies and procedures related to all aspects of registration. In accordance with FERPA regulations, research, evaluate, and respond to student, employer, and lender requests for enrollment or degree verification.
- Ensure integrity of all data contained in each student’s Banner record, including accuracy of campus and rate assignments, student status, curriculum information, grades, and registration records; as directed by the Registrar or Assistant Registrar verify and update student academic history, including but not limited to; grade changes, appeals, course challenges and certifications, and the entry of hard copy transcripts into Banner.
- Regularly scan and index student documentation collected throughout the Registrar’s office; scan and index course review documentation for archival records.

TRANSCRIPTS
- Monitor National Student Clearing house transcript request process to ensure it is functioning properly; troubleshoot disruptions or problems with the service.
- Maintain messaging on transcript request landing page at National Student Clearing house; coordinate with the Assistant Registrar and/or technical specialist when messaging regarding transcripts needs to be updated on other platforms.
- Oversee advanced transcript processing, such as retrieving and/or resending PDF transcripts, requesting refunds, et al.

Salary Range
Maximum: $25.48
Minimum: $21.86
