PURPOSE:

Under the general direction of the Provost and Vice President for Academic Affairs, the Web Publisher and Communications Specialist serves as the lead digital publisher and a strategic communications partner for the Division of Academic Affairs. The position is primarily responsible for overseeing, publishing, and governing Academic Affairs web content to ensure accuracy, clarity, accessibility, brand alignment, and consistency across colleges, departments, and academic programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

1. Serves as lead digital content publisher for Academic Affairs. Oversees web content updates across colleges, departments, and academic programs. Writes, edits, rewrites and structures digital content for website, dashboards, and social media. Reviews and approves submitted content to ensure compliance with editorial, brand and accessibility (Title II) standards. Uses QA and accessibility tools to detect and correct issues in collaboration with University Communications. Establishes and maintains content governance practices, recommends improvements to digital workflows and information architecture, and applies SEO and user experience best practices to enhance visibility, usability, and engagement. Develops an annual social media calendar for the Office of the Provost units, supporting content creation and tracking metrics of engagement.
2. In collaboration with the Senior Administrative Coordinator, serves as a primary communications resource for the Office of the Provost, providing strategic counsel and execution support for division-wide messaging. Advises academic leadership on messaging, audience segmentation, timing and channels. Ensures alignment with university strategic priorities, CSU policies, and institution-wide message through coordination with University Communications.
3. Produces high-quality written and visual communications for internal and external audiences. Translates complex academic, regulatory, and policy information into accessible content. Works with faculty, deans, chairs, and subject matter experts. Provides editorial review for clarity, accuracy, tone and consistency.
4. Collaborates with University Communications and Marketing, Information Technology, Enrollment Management and Student Affairs, Office of the President and other campus units to ensure coordinated, consistent and timely communications. Serves as a liaison between Academic Affairs and campus partners on communication-related initiatives and projects, balancing institutional consistency with unit-specific needs.
5. Develops, documents and maintains standard operating procedures, workflows, and best practices for Academic Affairs communications. Provides training, lead work direction, coaching, and troubleshooting support to Academic Affairs staff and web editors on communication tools, platforms, and content standards. In collaboration with Information Technology, evaluates communication technologies and tools to improve efficiency and effectiveness. Support divisional reporting, strategic planning, and assessment through data-informed communication practices.
6. Develops, implements and manages comprehensive marketing and communications campaigns, programs and procedures aligned with university vision and mission, and evaluates integrated communication plans in support of Academic Affairs leadership, academic planning, accreditation, curriculum, faculty initiatives and shared governance.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge: Thorough and advanced knowledge and understanding of marketing, branding, communications, public relations, and related roles. Thorough knowledge of and ability to effectively use media outlets including planning media coverage and media publicity campaigns for the university and events. Knowledge of interview techniques and the ability to define and deliver media messages. Working knowledge of marketing and research techniques and methods.

Skills: Advanced analytical and organizational skills to organize, prioritize and manage the successful completion of initiatives and projects within time and budget constraints. Strong story development and journalistic writing skills, as well as advanced editorial skills. Advanced public and internal relations skills to effectively represent the university, engage and collaborate with internal stakeholders, and manage and/or negotiate vendor partnerships. Advanced communication and interpersonal skills to build and foster strong relationships as well as drive change initiatives. Advanced skill in mentoring or overseeing the work of others. Advanced skill to appropriately use technology and relevant event planning and management tools.

Abilities: Demonstrated ability to keep abreast of campus events and subject matter expertise in relation to current events to identify and capitalize on media opportunities that will promote the university and increase positive media coverage. Demonstrated competence in independently applying advanced judgment to create and implement strategies and initiatives. Proven experience in developing and implementing strategies and campaigns, with a record of accomplishment of achieving measurable results. Ability to analyze and select pertinent facts and integrate them into communication vehicles. Ability to apply market research to identify communication needs and target audiences. Ability to apply appropriate statistical techniques and methods to research.

MINIMUM QUALIFICATIONS:

Equivalent to a bachelor's degree in a related field and four years of relevant experience. Additional experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis. An advanced degree in a related field may be substituted for the required experience on a year-for-year basis.

SPECIALIZED SKILLS REQUIRED:

• Thorough and advanced knowledge of strategic communications, marketing, branding, and digital communications within a complex, mission-driven organization, preferably in a higher education environment.
• Exceptional writing, editing, and storytelling skills, including demonstrated success translating complex academic, regulatory, and policy-related information into clear, accessible, executive-level and institution-wide communications across multiple platforms.
• Advanced communication, consultative, and interpersonal skills, with the ability to influence outcomes, build trust and credibility, and work effectively with senior academic leaders, faculty, and cross-functional campus stakeholders.
• Thorough knowledge of web governance, content strategy, accessibility standards, and applied design and user experience principles to ensure effective, inclusive, and professional digital communications.
• Proficiency in communication and marketing technologies, including content management systems, email and dashboard tools, basic HTML/CSS , and analytics and quality-assurance tools (e.g., Google Analytics, Siteimprove) to inform continuous improvement and data-informed decision-making.
• Demonstrated ability to independently manage multiple complex projects and competing priorities, exercise sound judgment and discretion with sensitive or institutionally significant information, and proactively recommend communication strategies aligned with institutional priorities.

PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:

• Experience in higher education, non-profit, or public-sector communications.
• Experience providing web governance, editorial oversight, or content review for multiple units or departments.
• Demonstrated ability to work independently, exercise sound judgment, and manage competing priorities in a fast-paced, deadline-driven environment.
• Experience with web publishing including content management systems.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. The position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
