ASSOCIATE REGISTRAR Position Number: S-3986
Position Summary: Provides operational leadership for the Registrar's Office, overseeing student records, systems, processes, and services to ensure accuracy, efficiency, compliance, and a positive student experience. Works with the Student Information System (SIS), including system configuration and performance, student record creation and maintenance, and support of related systems. Leads process improvement initiatives and works with campus stakeholders to enhance data integrity, operational effectiveness, protected student data practices, and academic space utilization. Coordinates with campus offices to ensure accurate tracking and reporting of student enrollment and academic performance in accordance with applicable regulations. Performs complex administrative functions and interprets FERPA requirements related to the release of student information. Assists students, faculty, and staff with academic policy issues overseen by the Registrar's Office and exercises professional judgment in making exceptions to established policies and procedures when appropriate.
Required Qualifications: Bachelor's degree.
Five years of increasingly responsible professional work experience, including at least two years in a higher education setting with demonstrated experience in higher education related information systems, data analytics and regulatory compliance.
One year of supervisory experience.
Demonstrated ability to communicate effectively and build and maintain collaborative relationships.
Preferred Qualifications: Master's degree.
Experience in implementing new technologies.
Experience with process improvements for efficiency and accuracy.
Collegiate level professional experiences in enrollment and student services functions.
Duties & Responsibilities: Supervision of an office staff comprised of Administrative Office Assistants and Professional Administrative employees.
Serves as a member of the leadership team for the Office of the Registrar.
Directs the employment and termination of employees in areas of responsibility.
Analyzes and provides guidance on the relationship between business processes in areas of supervision and within the Registrar's Office.
Corresponds with students, former students, faculty, staff, administrators and the public concerning matters regarding student record management.
Coordinates configurations and updates to Student Information System regarding curricular changes, compliance, and policies, along with affiliated systems and campus partners.
Develops, reviews and implements revisions to policies and procedures and recommends, implements, and assesses quality and effectiveness in their assigned areas of responsibility.
Ensures business processes are documented and maintained to support continuity, risk mitigation, and staff transitions.
Ensures student record management per the provisions of the Family Educational Rights and Privacy Act and other applicable state and institutional policies.
Maintains expertise and proficiency in Student Information System.
Manages, organizes and assesses functions and policies related to academic records management and registration and academic space scheduling in the Office of the Registrar.
Provides leadership, direction, and oversight for academic space and course scheduling, academic records, and registration functions.
Reviews, manages, implements and assesses policies and procedures related to student record management.
Serves as liaison and coordinator with various campus offices and operational units regarding academic, student services and enrollment management issues.
Works closely with academic Dean's Offices, academic department chairperson or designee(s), and other university officials in all matters relating to records and registration.
