Position Announcement


This role offers the opportunity to make a meaningful impact by supporting the daily operations and continued success of the Melisa Nellesen Center for Autism at Utah Valley University. As an Administrative Assistant, you will serve as a trusted resource for leadership and staff, helping coordinate programs, special events, and essential business functions that support individuals and families. This position is ideal for someone who enjoys organization, problem-solving, and working collaboratively in a mission-driven environment where their contributions directly support important community-centered services.

The successful candidate will gain experience in a wide range of administrative and operational responsibilities, including budget support, facilities scheduling, database and records management, inventory oversight, and event coordination. Summary of Responsibilities


  • Performs difficult and confidential administrative duties, including composing routine correspondence, record-keeping, minute-taking, coordinating NB maintenance facilities requests, procurement, catering, and facilities scheduling.
  • Informs students, faculty, community about upcoming events and services of the Center. Coordinates and facilitates events; handles all phone calls, e-mails, and walk-in traffic. Collaborates with MNCA staff to support all Center operations.
  • Performs financial activities for the Center, including new-hire paperwork, ePAFs, requisitions, purchase orders, travel, etc. Assists the Director with maintaining a balanced budget for individual programs, grants, and the Center as a whole.
  • Maintains inventory of office equipment and supplies. Maintains organization of communal work, classroom, and event spaces. Supervises student workers and office support.
  • Performs other job-related duties, as assigned.


Qualifications / Licenses / Certifications


Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties; OR any combination of education and/or experience totaling four years.
For Example:

  • Bachelor's degree in a related field
  • OR an associate degree in a related field + 2 years of related work experience
  • OR 1 year of college coursework in a related field + 3 years of related work experience
  • OR 2 years of college coursework in a related field + 2 years of related work experience
  • OR 3 years of college coursework in a related field + 1 year of related work experience
  • OR 4 years of related work experience
Preferred Qualifications:
  • Two years of experience related to the Summary of Duties in a higher education setting.
  • Experience using Banner9, ePAFs, NeoEd, and Wolverine Marketplace.

Knowledge


  • Knowledge of best practices in office support and technology.
  • Administrative knowledge of office methods, techniques, practices, and procedures.
  • Knowledge in the use of computers and computer software applications including word processing, spreadsheets, email, internet, databases, and presentations (Microsoft Office Suite).
  • Knowledge in the preparation and monitoring of departmental financial transactions and budgets.
  • Knowledge of FERPA and HIPAA.
Skills
  • Skills in office methods, techniques, practices, and procedures.
  • Skills in the use of computers and computer software applications, including word processing, spreadsheets, email, internet, databases, and presentations.
  • Skills in the preparation and interpretation of reports, charts, graphs, and tables.
