Job Description SummaryPrimary purpose of this role is to support the research activities of the Division of Infectious Diseases at the Department of Medicine. This position will be responsible for managing complex grants including clinical research grants and program project grants with multiple sub-contracts. The Grants Manager will work independently to manage the sponsored program funds from pre-award through post-award while working with Principal Investigators on proposal development, budget development and related pre-award requirements and
submission for a diverse sponsor portfolio. The individual will also manage the post-award processes including monitoring and review of all charges, reconciliation of accounts, and preparation of monthly financial reports
for Principal Investigators. Consults with research faculty in the preparation of sponsored project budget and proposals; review proposals for compliance with sponsor and University policies and ensure Regulatory Affairs requirements are satisfied and that Conflict of Interest statements are submitted when required. Provides full accounting services, reconciling budgets, processing payroll, effort reports, financial reporting; monitors grant expenditures for compliance with sponsor regulations and guidelines. The Grants manager will monitor and enforce compliance with sponsor guidelines and OMB Uniform Guidance.
The Grants Manager will actively participate in specific projects, including the annual budget submission and financial analysis. This position involves partnering with Grants Managers, including mentoring & training. This position will report to the Director of Finance.
Job DescriptionJob ResponsibilitiesManage pre and post award activities for various PIs, including RPPR's. Review funding opportunities, prepare proposal checklists, prepare and review proposal budgets and assist in other proposal development activities. Advise investigators regarding actions needed to bring proposal into compliance.
Participate in the annual budget process and monthly financial analysis for sponsored programs, gifts, endowments, chair commitments and other university accounts. Manage Subcontracts & process RIS agreements
Monthly reconciliation of grant expenditures for compliance and take or recommend corrective actions as needed. Ensure accurate effort allocation for PI's & research staff/collaborate with Business Administrator to ensure payroll is mapped accordingly. Process salary reallocation when needed. Liaise
with the University's Office of Research Services and SOM's Office of Research Support Services for these grants.
Complete monthly budget and expense journal entries as needed. Reconcile and correct fiscal year activity such as suspense, anticipated resources, dependent tuition, clinical trials reconciliation.
Training & Mentorship of Grants Managers, Serve as a Resource to Grants Managers & Grants Coordinator for day-to-day financial operations. Authorize Purchasing, and Accounts payable transactions including Travel & ensure compliance with audit requirements.
Recommend and implement policies and procedures to ensure uniformity in reporting and compliance with University, School and sponsor. Exercise resource stewardship and report known or suspected irregularities.
Perform additional duties as assigned.
Qualifications- Bachelor of Science and 5 to 7 years of experience or equivalent combination of education and experience is required.
- Experience with NIH and other federal granting agencies is required. Proficiency with Microsoft Excel, Adobe, and Business Objects.
- Excellent critical thinking, analytical, verbal and written communication is required.
- Working knowledge of Uniform Guidance is required.
- Ability to apply solid
organizational and time management skills to a deadline drive, multiple priority work environment is required. - Familiarity with UPENN sponsored research policies and related financial system is preferred.
- The candidate will possess strong organizational, data management and documentation skills, is attentive to detail and strives for accurate results, has the ability to work both independently and cooperatively, and demonstrates excellent interpersonal skills.
- Successful candidate must be highly motivated, attentive to details, ability to work in a team setting, multi-task with a strong work ethic. Ability to work under pressure of deadlines, be flexible and contribute positively to a dynamic business environment.
- Prefer a candidate with awareness of grant submission coordination either with pre award or post award within a research setting; Skills
required are strong computer skills, with working knowledge of computer software such as Excel or Access, familiar with Ben Financial, and Business Objects or similar financial software.
