Clinic Cashier

Primary Purpose:
Under the immediate supervision of the Cashiering Supervisor, performs cashiering functions, patient account maintenance, and auditing for the clinic management system.

Essential Functions:
  • Process all patient payments to include payments made in-person, online, EFT, or received via mail or telephone.


  • Balance register with cash, checks, and credit card receipts daily; locate and correct errors before closing.

  • Review/reconcile Explanation of Benefit (EOB) reports against insurance payments; review insurance company payments and post accurately to individual patient accounts.

  • Review reports of prior day activity; audit and confirm all activity from previous day has been posted accurately and completely; make corrections as necessary; run monthly cash report and submit for review.

  • Audit patient accounts (treatment codes, payment plans, faculty/patient assignment) to validate existing credits and process refund requests.

  • Confirm and update patient contact information as needed to include address, telephone number, and e-mail.

  • Generate a printout of account activity for patients upon request; assist patients with questions regarding billing.

  • Prepare and send past due letters and place follow up calls to patients with outstanding balances prior to referral to collection agency.

  • Coordinate with collection agency regarding payments received on accounts already written off to collections.

  • Maintain small inventory of dental products (e.g. teeth whitening kits) and process sales to patients.

  • Perform all other duties as assigned by the Cashiering Supervisor or designee.


Minimum Qualifications:
Knowledge of:
  • Basic accounting/billing procedures/cashiering practices.
  • Basic level Excel, Word, and email systems.


Ability to:
  • Balance cash drawer daily.
  • Draft past due letters and contact patients for past due balances.
  • Audit and analyze data from multiple sources.
  • Accurately manage electronic patient files (EOBs, patient statements, correspondence).

Experience:
  • Minimum of one year experience in cashier capacity.
  • Direct customer service experience.

Education:
  • High school diploma or equivalent.

Working Conditions:
  • Position is full-time, seven- and one-half hours (7.5) per day, five (5) days per week.
  • Occasional evening hours may be required.


Preferred Qualifications:
Knowledge of:
  • AxiUm or other patient management system preferred.


Ability to:
  • Demonstrate a high level of customer service
  • Follow oral and written instructions.
  • Project a professional image, demonstrate strong interpersonal skills and communicate in a collegial and professional manner with administrators, faculty, staff, students and public.

Experience:
  • Experience in a medical/dental setting helpful.

Other:
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.


Physical Requirements:
The physical demands described here are representative but not definitive of those that must be met by an employee to successfully perform the essential functions of this job.

  • Work performed is primarily general office/administrative with frequent use of computer keyboard, mouse and phone.
  • Requires sitting majority of the working day; occasional standing, bending, and reaching.


Hiring Range: 32.39 per hour
