Position DescriptionThe Administrative Coordinator for Field Placement and Operations provides essential placement and administrative support for the College of Education (COE). In collaboration with the program faculty and staff leads, this position will support the field placement coordination for the On-Ground School Counseling (SC), Online SC, School Psychology, and Teacher Education programs. The Administrative Coordinator for Field Placement and Operations will also manage the professional licensure disclosure regulations for the COE. This position plays an important role in enhancing the services that the COE provides to our students, faculty, staff, programs, departments, and external partners.
Essential Job FunctionsField Placement Support (55%)
- Serve as a liaison between our field placement coordinators and K-12 school district partners.
- Maintain a database of K-12 school district partners and current contacts.
- Obtain necessary information to initiate contracts/agreements with K-12 school district partners.
- Communicate practicum and internship placement requests to K-12 school district partners and provide status updates to field placement coordinators.
- Support the collection of all required onboarding documents from faculty and students to complete onboarding processes for K-12 school district partners.
- Compile evaluations of sites and send them to program directors and faculty clinical directors.
- Support field placement coordinators with updating and maintaining the field portion of the student handbook in accordance with Seattle University's professional clinical internship policies.
- Participate in the orientation for practicum and internship placement processes.
- Collaborate with K-12 school district partners to schedule student orientations and internships.
- Support events that connect students with school districts that are interested in hosting students for field placements.
Professional Licensure Disclosure Support (15%)
- Build and maintain a database of state specific licensure requirements for out-of-state students.
- Collaborate with program directors to update students and faculty on certification and licensure mandates.
- Participate in information sessions for obtaining licensing and credentials.
- Maintain professional licensure disclosure forms for students.
Program Administrative Support (30%)
- Support programs in the collection of employment and career data from incoming students, graduates, and alums.
- Build and maintain post-graduation job placement databases.
- Support Program Directors with updating and maintaining student handbooks and program Canvas courses.
- Manage all SharePoint sites within the COE and standardize how documents are filed and stored.
- Update and maintain all listservs within the COE.
- Support the Associate Dean of Operations, Enrollment, and Finance with developing and maintaining standard operating procedure (SOP) manuals for all staff positions.
Qualifications- High School diploma or equivalent (GED) plus two or more years of progressively responsible office experience in an academic services environment OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the position.
- Excellent organizational, attention to detail, and interpersonal communication skills, both verbal and written.
- Demonstrated success in a fast-paced environment, working collaboratively, and communicating effectively to promote teamwork, collegiality, and wellness.
- Proven ability to handle sensitive and confidential information with discretion and professionalism.
- Demonstrated ability to manage multiple tasks with competing deadlines.
- Experience with Microsoft 365, including strong proficiency in Excel, SharePoint, Teams, Forms, and Outlook.
- Experience with data management systems.
- Ability to work some evenings and weekends.
Preferred Qualifications- Bachelor's degree plus two or more years of experience working with K-12 districts/Catholic schools/independent schools.
- Experience with Canvas, Zoom, and Qualtrics.
- Demonstrated ability to communicate with people of diverse backgrounds and from all levels of the university.
- Flexibility and willingness to assume new tasks and special projects.

Compensation at a GlanceSalary Range: $55,000 - $60,000
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
