General Services Mailroom Assistant

Responsibilities:Process and sort incoming and outgoing campus mail, including first class and standard marketing/bulk mail (automated and non-automated); complete needed paperwork and billing associated with outgoing mailingsMaintain internal and external mail distribution listsMaintain daily records of first-class mail, Business Reply and Postage Due mailProcess monthly billing for the mailroom in collaboration with the University Business OfficeAct as a liaison between Carroll University and the US Post Office; maintain records with US Post Office, including, but not limited to, account balances, permit renewals, postal regulations, etc.Forward student and employee mail, as appropriateMaintain and order supplies needed for mailing machines, office, etc. Maintain content on the General Services portal page to ensure for accuracy and up-to-date informationResearch and problem solve missing mail and packages; respond to mail inquiries promptlyCross train in, and provide back-up support for, mail and print shop deliveries, print shop and receivingProvide back-up support to other campus areas in the summer, including, but not limited to, Facilities and Campus ServicesPerform all other job duties as assigned

Qualifications:

Education and/or Experience:
High school diploma/GED is requiredExperience working in mailrooms is a plusRequires knowledge of postal regulationsRequires strong math skillsRequires knowledge of running and maintaining mail equipment which includes but is not limited to: envelope inserter, tabbing machine, mail meter, and address printer (familiarity with address software a plus).
Technology Skills:
Proficiency with MS Office SuiteUse Outlook for email and calendarKnowledge of package database systems a plusKnowledge of postal software a plusKnowledge of Microsoft Office Suite Publisher, and Adobe applications a plus

Human Relations Skills:
Excellent communication skills.Ability to work independently.Ability to work effectively with people regardless of their age, gender, race, sexual orientation, ethnicity, religion, ability, socio-economic background, or job type.Excellent organizational skills, and the ability to multi-task, prioritize and work with frequent interruptionsMust adjust to changing work environment and institutional needs.Build appropriate work relationships throughout the university.Assist in developing and implementing procedures.Able to delegate.Confidentiality is required.

Physical Demands:
Must be able to lift up to repeatedly lift up to 50 poundsMust be able to sit/stand for long periods of timeSufficient strength, physical dexterity and ability to perform duties and responsibilities of position

Other:
Valid Wisconsin driver's license with a good driving record mandatoryInsurable under the University's insurance plan.Forklift license is requiredMust have excellent math and organizational skillsMust be flexible in your schedule and work well under pressureAbility to work overtime, and support large campus events including, but not limited to, First Year Student Move-in and Orientation Weekend, Homecoming, and CommencementNeat appearance necessaryMust be able to work in inclement weatherAbility to handle and transport chemicals with proper safety gearCandidates must be willing and able to support and advance the University mission

Compliance:
Employees may be required to report violations of law under Title IX and the Jeanne Clery Disclosure of Campus Security Policy and Crime Statistics Act (Clery Act). If this position is identified a Campus Security Authority (Clery Act), you will be notified and provided resources for reporting. The Clery Act requires all prospective employees be notified of the availability of the Annual Security and Fire Safety report.
