Position Summary

The Post Grant Award and Budget Specialist will collaborate with the Academic Affairs and Office of Sponsored Programs teams. In this full-time role, the individual will be engaged in post-award budgeting and fiscal management across the grants and sponsored projects lifecycle, ensuring alignment with federal compliance regulations and university policies. The responsibilities also encompass providing budget support for the university's academic endowments, academic affairs departments, and academic programs.

Core Responsibilities

Post-Award Grant Responsibilities | 65%

  • Maintain a portfolio of grant accounts within the Office of Sponsored Programs.
  • Assist with grant award set-up. This includes, but is not limited to: developing grant tracking budgets, inputting grant budgets and finance report tracking into the grants data platform, interfacing with the data analytics platform, and assisting with orientation and training for staff and project directors to ensure they understand processes and responsibilities related to monitoring awards.
  • Track and monitor financial compliance related to external grant expenditures, ensuring that all direct costs are allowable and allocable under funder guidelines, applicable regulations, and university policy.
  • Reconcile grant expenses to meet reporting requirements and investigate unresolved financial errors and discrepancies.
  • Monitor individual grant and contract budgets for deficits and adherence to approved budgets, and assess the need for carry-over and budget modification requests.
  • Prepare monthly, quarterly, and annual reports and generate customized reports for projects as needed.

Budget Responsibilities | 20%

  • Receive and maintain spreadsheets of requests from schools for budget increases, capital expenditures, and urgent monetary needs for action by the Provost and Executive Vice President.
  • Request budget adjustments for academic departments when necessary.
  • Conduct special analysis when needed, such as those required to evaluate Whitworth policy compliance and budget implementation.
  • Prepare and/or review periodic budget variance reports and related communications to academic endowment budget managers.
  • Commitment tracking, expense approval, and budget monitoring, reviewing and reporting for academic affairs operating, endowed budgets, and DEI budgets.
  • Assist with the reconciliation of academic budget and allocation of faculty salaries.
  • Prepare quarterly salary budget journal requests.
  • Coordinate with the Business Office on budgetary matters.

Administrative Support | 10%

  • Track and monitor approved faculty and student travel expenses and facilitate reimbursements as needed.
  • Establish and maintain standard office procedures in coordination with the Executive Assistant to the Provost.

Other | 5%

  • Assist with special projects and department events.
  • Other duties as assigned.

  • Demonstrated accounting experience.
  • Demonstrated experience with Microsoft Excel.
  • Experience with complex accounting systems and internal controls.
  • Experience with grants, contract administration, and federal uniform guidance in a higher education setting.

Position Details

Full time (1.0 FTE) | 12 months | 40 hours per week
Monday - Friday 8 AM to 4:30 PM | Some flexible options following training.
