Works under general supervision and provides complex administrative support work.


  • Managing and distributing information; troubleshooting and resolving intermediate to complex situations, both internal and external.
  • Creating and maintaining complex and confidential departmental records, files and reports (Workday processes, faculty contracts, and crucial semester reports such as faculty workload and small class reports).
  • Completing the annual budget packet for the Division and Social Work program; conducting monthly account review reconciliations to include ProCard reports for faculty.
  • Resolving students, faculty and staff registration issues and questions; building semester course schedules in Banner.
  • Coordinate Division meetings; recording and disseminating meeting minutes.
  • Serve as the alternate property officer; serve as departmental leave coordinator, and records retention officer.
  • Assisting 20+ faculty members complete required procedures to include meeting deadlines; submission of leave documents; travel leave forms; travel reimbursements, and posting syllabi and CVs to ensure HB2504 compliance.
  • Assisting the faculty with compliance in areas of University required trainings such as EEO compliance, search committee compliance, and mandatory HR trainings.
  • Answering telephones, communicating with students, faculty, and other individuals to answer questions, disseminating and/or explaining information. Maintaining office supplies and equipment. Perform other duties as may be assigned by the Division Head.

Required Education and Experience:

  • High school diploma
  • Three years of related experience.

  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Ability to work with sensitive information and maintain confidentiality. Strong interpersonal and organizational skills.
