Essential Responsibilities: 50% -- Front Desk/Reception: 1. Maintains a system in the front office to assure patrons are greeted promptly. 2. Makes appointments for screenings and other activities. Maintains overall awareness of Family Development Center activities. Uses scheduling software, such as 25 Live. 3. Markets the center, maintains adequate supply of enrollment packets, and answers questions. 4. Collects and enters payments into childcare billing system. Issues receipts for payments collected. Update payment binder and create deposit transmittals. 5. Receives/distributes mail, opening general items and responding accordingly. 6. Maintains the neatness of the reception desk and front office waiting area. 7. Maintains the child pick up authorization forms, if any information is updated communicate to the correct staff. 8. Maintains files for “my day at home.” 9. Logs late pick up and arrivals in correct binder. Charges any fees accordingly. 10. Creates/updates Rave communication file monthly or as changes in student enrollment occur. 11. Collects and processes staff timesheets bi-monthly and monthly. 12. Manages/updates website, as needed. 30% -- Record-keeping/Filing: 13. Creates and maintains a system to assure all enrolled children’s files are maintained in an orderly fashion. Updates files, as necessary. Assures all children’s files are secure and confidential. Audits files for completeness on a regular basis. 14. Maintains file of original documents and replenishes as needed. 15. Collects data for SIS, Food Program (CACFP), ChildPlus, DHS monthly certificates, ISBE and other reports as needed. Enters data in various systems. 20% -- Other: 16. Supervises and trains any assigned work study students to answer phone and perform receptionist duties. 17. Coordinates the inventory of office supplies and maintain office equipment. 18. Maintains list of needed supplies. Orders supplies when necessary,(i.e. diapers, wipes, toner, etc.) referring to order sheet. 19. Gathers list of supplies needed from Office Depot to be ordered by Director. 20. Maintains printer paper and ink levels. 21. Trains new staff on front desk and other Office Support Specialist duties. 22. Serves as point of contact between the Family Development Center and external staff. 23. Accompanies students on and off the bus. Monitors the sign in/out process of students using the bus. Starting Salary Range: $24,141.00 – $25,348.05 (This is a non-negotiated position. Salary starts at the base and is determined based on education and experience exceeding the minimum qualifications).
