This position works on an Executive Administrative Assistant team with primary focus in providing administrative and leadership support to the Vice President for Academic Affairs.
Duties include, but are not limited to, developing meeting agendas; attending meetings; taking notes; following up on assignments/unfinished business; preparing correspondence; monitoring office budgets; processing payments for bills; answering phone calls, emails, and in-person inquiries; scheduling appointments; overseeing the filing system; hiring, training and supervising part-time staff; reviewing and distributing mail; copying and faxing documents; making office purchases; making travel arrangements; compiling data and completing reports; and serving as an information resource. Other duties include assisting with the planning and executing of special events and performing duties as assigned by the supervisor.
This is an exempt, professional staff position reporting to the Vice President for Academic Affairs.
An associate’s degree or the equivalent from a college, technical, business, or vocational school and three to five years of experience providing administrative support to leadership personnel are required, to include:
Other requirements include advanced skills and proficiency using Office 365 software, including Word, Excel, PowerPoint, OneDrive, SharePoint, and Teams; experience managing Outlook calendars; experience using other digital applications, including work order systems and room schedulers; the ability to track budgets and multiple accounts, including reviewing expenses and making recommendations for fund transfers; and demonstrated ability to assist in planning and executing special events.
Excellent communication skills are required, including the ability and confidence to interact with internal and external customers at all levels of an organization with the highest degree of discretion and confidentiality, and the ability to think critically and be an effective problem-solver.
A bachelor’s degree preferred.
Experience using Banner to initiate purchase requisitions is preferred.
General work schedule is Monday through Friday, 8:30 a.m. to 4:30 p.m. The position requires flexibility in scheduling; occasional evening and weekend hours are required.
