Job Description

The Program Coordinator (PC) is primarily responsible for supervising the day to day operation of clinical rotations for PA students. The Program Coordinator is equally tasked with departmental assessment projects including accreditation compliance.

Distinguishing Features of the Position: 

Must be a mature, assertive, organized, and individual with superior interpersonal, written and communication skills. Must also have strong problem-solving skills and high level of diplomacy (working with faculty, students, hospital administrators and clinical preceptors- MD, PA, NP, etc . ). Reports directly to the PA department chair.

Examples of Duties (illustrative)Responsibilities shall include, but are not limited to the following:

Accreditation and Assessment Compliance:

  • Lead role on PA Department's self-study committee [Setting of departmental benchmarks for surveys; Review surveys for areas below benchmark; Partner with Departmental Chair to implement action plans for any areas below benchmark; Oversight of all departmental surveys/data review; Partner with Institutional Effectiveness Office to formalize assessment of data received from Institutional Surveys; etc.]
  • Assist the PA department chair in all outcome assessment activities
  • Annually, collaborate with PA department chair on ARC-PA and PAEA annual report
  • Coordinate, annually, mailing of surveys to PA Program graduates. Analyze results and produce a satisfaction and needs assessment report for the PA department chair.
  • Distribute an exit survey to all graduate students on the final Senior Seminar Day. Analyze results and produce a satisfaction and needs assessment report for the PA department chair.
  • Annually, coordinate e-mailing of surveys to preceptors to assess Student Preparedness for Clinical Rotations.

Program Planning:

  • Develop and maintain the clinical clerkship schedule for PA students, including the assignment of students to clinical preceptors/sites, (40-80 students x 12 rotations) (800 rotations)
  • Periodically review and implement changes to the evaluation forms for students, preceptors and clinical sites
  • Initiation and negotiation of all clinical contracts for new (or potential) clinical training sites (>800)
  • Continuous development of program for preceptor appreciation

Program Administration

  • Departmental liaison for all clinical affiliation sites (approx. 800)
  • Advise Junior, Senior and Graduate level PA students on clinical rotation issues
  • Biannually, meet with Junior BS/MS PA class for presentation regarding clinical rotation issues
  • Tracking of contracts from new site, to be signed by sites legally responsible head, back to DVC, to be signed by DVC's VP of Finance, with a signed copy and a certificate of insurance back to clinical site
  • Biannually disperse earned tuition credit waiver to preceptors
  • Continuous tracking of student health/certification/immunizations via online tracking database
  • Process hospital credentialing paperwork for PA students at various sites (each has own requirements)
  • Assist with the identification of employment opportunities for graduates
  • Constant work on mail merge letters to preceptors regarding clinical schedule status and updates
  • Continuous maintenance of clinical site/preceptor database
  • Continuous maintenance of PA student rotation tracking spreadsheet
  • Continuous maintenance and tracking of departmental databases; employment status and home information of graduates
  • Annually, send copy of Student Evaluations of Preceptors back to the preceptors for their review
  • Serve on clinical coordinator committee

Supervisory Role

Partner with the Administrative Assistant to the Dean of Health Professions for supervision of part-time Admissions Support Specialist/Clinical Placement Assistant

Program Development

  • Attend offsite meetings for clinical rotation cultivation, as necessary
  • Attend off site seminars and conferences, as necessary
  • Participate in faculty/staff search committees
  • Identification of and application to grant sources for the PA department


  • Respond to online inquiries regarding PA applications process
  • Meet with potential applicants and families regarding PA Department admission
  • Work with PA department chair to review applications and recommend for interview
  • Serve on admissions interview committee panel

Preferred and Required Qualifications

Required Knowledge, Skills and Abilities: 

Must have a Master's degree. 3 years of work experience in a college setting (preferred); be computer proficient (word processing, mail merges, spreadsheets, and database management); excellent interpersonal and communication skills; diplomacy; high degree of 

organization, problem solving and detail orientation. Must be able to generate new ideas and work autonomously but also recognize their role as a team member.
