Financial Aid Coordinator

Under general direction of the Assistant Director of Financial Aid, the Financial Aid Coordinator provides administrative, technical, and advising support for the financial aid staff. The Financial Aid Coordinator will also manage the Named and Endowed Scholarship awarding and review process. Position is located on the San Francisco campus.

MAIN RESPONSIBILITIES:


30% of time

  • The position will work closely with the Assistant Director and ETS to manage all data transmissions with the Department of Education; including testing, interfacing with COD, ISIR processes, etc.
  • Serves as secondary processor for informer/database reporting, manages cleanup report preparation.
  • Coordinates the processing of applications including monitoring of data entry of financial aid application materials and preparation of files for review.
  • Oversees all application and communication flow for financial aid applicants.
  • Responsible for document tracking and basic analysis of income documentation for completion and accuracy.


30% of time

  • Performs routine automated file upload/download process with federal databases.
  • Serve as quality assurance for submitted electronic documents.
  • Prepares electronic linking to student files and routes information forward for counselors to review.


30% of time

  • Handle routine financial aid inquiries, drop in advising questions, status inquiries and follow-ups by phone, email and in person.
  • Schedule meetings with financial aid counselors, checking multiple calendars for availability.
  • Order office supplies and maintain supply of financial aid applications, brochures and forms.
  • Frontline receptionist for Enrollment Services Center providing general information and forms pertaining to Student Records and Student Accounts.


5% of time

  • Coordinate private scholarship database and advertises information to students.
  • Manage financial aid additional resources page on portal.
  • Perform routine adjustments of financial aid disbursements.
  • Prepare financial aid paperwork including: followup letters and Exit Interview packets.

MINIMUM REQUIREMENTS:

  • Bachelor's degree or equivalent. Computer proficiency a must, i.e. PC Windows applications: MS Excel, Word, and Google Suite. Must demonstrate attention to detail, working with a high degree of accuracy, strong organizational skills, strong record keeping skills, and the ability to articulate and disseminate complex information to multiple audiences. Strong customer service and interpersonal skills a must. Excellent oral and written communication skills required. The ability to multi-task with a high level of efficiency and adjust to varying assignments and workloads a plus. Demonstrate ability to work independently and self-initiate general responsibilities, but also work in a team environment.


PREFERRED QUALIFICATIONS:

  • Experience in a financial aid office or a higher education setting;
  • Knowledge of Federal Title IV and state financial aid requirements
  • Familiarity with needs analysis methodology, application, and verification process
  • Knowledge of financial aid software and tools, including CSAC Web Grants, NSLDS
  • Experience with integrated student information systems (Datatel Colleague), document imaging (ImageNow), and Workday.
