Job Summary
This position provides direct oversight to the daily business operations in the Office of the Provost, reporting to the Associate Vice President for Operations. Responsibilities are broad in scope, and include all operational components that support the academic, research, and community outreach missions of the university.
Responsibilities
The duties include, but are not limited to:
Provides executive level oversight of all resources assigned to the Office of the Provost, insures resources are allocated in a manner consistent with the strategic goals and priorities of the university as approved by the President, Provost, and Board of Regents; serves as role model responsible for good stewardship of institutional resources. Provides oversight and management of the Provost general operating and strategic funds; responsible for financial management and reporting for all revenue and expense accounts (Purchase Orders, Check Request, IDR's); Provides oversight and monthly monitoring of Office of the Provost foundation accounts. Research Institute Funding, and Indirect Cost Return strategic allocations. Serves as the departmental inventory custodian.
Manage and coordinate major project budgets with facilities and information technology. Assist with making sure purchase orders are setup correctly and managing to closeout to recapture any unspent funds. Provides operational and organizational support for the office's academic, research, and community outreach missions; serves to advise and support all units that report to the Provost on matters related to budget and finance. Works monthly to reconcile purchase order across all college, schools, and units reporting to the Provost.
Manages funding distribution and business processes for a growing and expanding Provost research portfolio; works collaboratively with the Research Assistant and Post Doc assigned to the Office of the Provost.
Provide backup to college, schools, and units until critical vacancies are refilled. Assist with academic event planning to include logistics and budgeting. Work with units and materials management on the monthly surplus reports to validate and reallocate financial resources.
Insures compliance with all institutional policies, BOR policies, and state and federal regulations related to purchasing and inventory control. Responsible for ensuring policies and practices foster excellence, equity, and diversity. Primary contact for all regulatory and compliance matters for the Office of the Provost.
All other duties as assigned.
Required Qualifications
Bachelors Degree from an accredited college or university in general business, healthcare administration, or other applicable field and a minimum three years administrative management experience.
Preferred Qualifications
Demonstrated progressive career advancement. Experience with personnel management, strategic planning, contract negotiation, and financial and budget management and reporting. Evidence of advanced interpersonal skills with an ability to address the complexities of various constituencies.
Shift/Salary/Benefits
Shift: Days/M-F (work outside of the normal business hours will likely be required of an employee in an exempt level position)
Pay Grade: 17
Salary: Minimum $44,967/annually- Midpoint $60,705/annually
Salary to be commensurate with qualifications of selected candidate within the established range (generally minimum-midpoint) of the position
