Position

Reporting to the Academic Department Manager, the Grant and Technical Communicator will be responsible for maintaining the Department's website, including writing content/material for new pages, updating existing ones as required and ensuring that the information is current and accurate. The incumbent will assist with the preparation and submission of research, service, training, and other grant proposals to support the activities of the Department of Chemical and Materials Engineering. The incumbent will work in alignment with the External Relations Faculty Communications and Marketing Partner to ensure alignment with institutional best practices.

Duties

  • Research and write materials that raise awareness and the profile of the department
    Write for and update the department's website, research and contribute articles, write department's memos, speaker notes, funding proposals and other correspondence as required by the Chair
  • Edit, write, and coordinate grant proposals, manuscripts, and other documents related to academic research
  • Identify opportunities for peer-reviewed funding, locate suitable applicants, provide support with grant preparation, and work with Principal Investigators (PIs) and other staff to ensure timely submission of proposals so as to maximize external funding for the research programs
  • Oversee strategic development of grant proposals by PIs, including encouragement of early identification of opportunities, training of PIs, facilitation of proposal preparation, and enhancement of proposal quality prior to submission (e.g. pre-review of editorial and technical aspects); minimize preparation burden on PIs and ensure high quality customer service
  • Develop and facilitate an efficient proposal production process to include conducting effective project planning; coordinate proposal teams; pre-award grant writing/proposal editing
  • Research institutional and sponsor policies and regulations to ensure successful implementation in accordance with grant contract terms and agency requirements and compliance
  • Prepare drafts of proposals, including project narratives, budget, and other supporting documentation, in a timely manner to meet grant and award application deadlines
  • Drafting of supportive documents; coordinate, as needed, with the various funding agencies on grant administration issues
  • Edits, proofreads, or assists with writing reports (technical, progress, etc.) for submission to collaborators or funding agencies
  • Edit highly technical documents to high standards, sometimes under tight deadlines
  • Create and update templates for standard portions of proposals
  • Discover and implement best practices
  • Maintain accurate and timely records to track progress of multiple projects and deliverables
  • Perform other duties inclusive as assigned


Preferred and Required Qualifications

Minimum Qualifications

  • Degree required in business communications, public relations, journalism, or a related discipline preferred; equivalent combinations of education and experience may be considered
  • Minimum two years of professional work experience preparing grants, scientific manuscripts, or other technical reports
  • The successful candidate must have exceptional technical writing skills, including technical editing, to facilitate preparation and editing of grant proposals
  • An effective communicator, capable of determining how best to reach different audiences and executing communications based on that understanding
  • Flexibility in approach and demeanor in order to align with the shifting demands of evolving circumstances
  • Excellent interpersonal, organizational and time management skills; ability to multi-task without losing attention to detail
  • Familiarity with a variety of editing style guides
  • Attention to detail and accuracy, with demonstrated ability to create high-quality documents
  • Proficiency with standard Office software: Microsoft Word, PowerPoint, Excel, Outlook, Adobe Acrobat, and current web browsers (Explorer, Chrome, or Firefox)
  • Demonstrated ability to work in a team environment and meet goals in a timely manner
  • Ability to work productively with great autonomy and minimal supervision, and equally able to take direction, elicit input from others, and respond to feedback
  • Ability to initiate and implement multiple projects simultaneously
  • Ability to make effective presentations to faculty members and other authors in face-to-face meetings and on telephone conference calls
  • Familiarity with the University of Alberta is an asset
  • Advanced knowledge of engineering terminology; technical publishing; grammar, syntax, and usage; new media, print, and web-based writing processes
  • Hands on experience with web design/web page editing (i.e. Cascade) is preferred
  • Demonstrated experience with graphics software (i.e. Adobe) is desirable
