Job Description:

The Executive Assistant, Baccalaureate Studies and Academic Support performs highly responsible administrative and secretarial duties requiring an extensive working knowledge of the organization, and the programs and departments under the supervisor’s jurisdiction. Work includes relieving the supervisor of administrative detail and office management function. Requires considerable exercising of judgment, problem solving, and discretion concerning highly confidential matters. The Executive Assistant assists in preparing various state and federal reports which requires a comprehensive and thorough understanding of federal and state rules, regulations, and statutes; assists in purchasing; monitors budget expenditures; assists with processing contracts and requisitions; maintains the departmental calendar, schedules appointments, and arranges meetings; and makes travel reservations. This position coordinates special functions and makes necessary arrangement for meals, refreshments, and facility support.

 

This position may assist in developing program brochures, press releases, College publications such as the College Catalog, booklets, posters, course listings, or other printed materials. The selected candidate will have the ability to prioritize work, meet deadlines, maintain an attention to detail, and ensure follow-through on assignments with minimal supervision; demonstrate professional and discretionary communication skills via electronic, verbal, written, and face-to-face interactions; and provide excellent customer service through the use of appropriate written and verbal communication including, but not limited to, telephone, email, voicemail, and written correspondence.

 

MINIMUM QUALIFICATIONS:   Graduation from an accredited institution with an associate’s degree or appropriate work experience on a year to year basis may be substituted for the College degree requirement two years responsible secretarial administrative assistant experience, and demonstrated computer skills, including proficiency with Microsoft Office Suite in a networked office setting, and internet navigation.  College course work may be substituted on a year to year basis for the required experience. Successful results of a background check are required.

Pursuant to College policy, it is an employment eligibility requirement for an applicant to meet the requirements of § 435.04(2), Florida Statutes, related to background investigations.  Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position.  A Florida Department of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition of employment, and any person who fails to disclose any adverse information contained in the background investigation at the time of submitting the employment application will be disqualified from employment.

 

SALARY RANGE:  $29,400.00 ($15.08/hour)
