Job Description

The Administrative Associate II will report to the Chief Scientist/Executive Professor of the CRI Cyber Security Initiative and will provide general office support to the staff and faculty members. This position is responsible for providing administrative assistance and managing the day-to-day office operations.

Responsibilities:

  • Entering requisitions and receiving invoices in the Aggie/Panther Buy System.
  • Assisting with travel leave requests and preparing expense reports in the Concur system.
  • Preparing interdepartmental orders to on-campus vendors.
  • Handling the office inventory.
  • Performing administrative duties to include greeting visitors, answering and screening calls, providing information and referrals to visitors/callers, making copies, faxing documents, sending emails, and receiving/distributing mail.
  • Schedule appointments and set-up meetings for the Chief Scientist/Executive Professor.
  • Preparing and maintaining departmental reconciliation notebooks for all Cyber Security accounts.
  • Serving as the Leave Coordinator for the office and assisting the faculty/staff members with leave requests.
  • Preparing faculty/staff contracts, entering payroll actions into the Workday system and preparing the biweekly payroll for approval.



Required Education and Experience:

  • High school diploma.
  • Two years of related experience.



Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others.
  • Effective verbal and written communication skills.



Preferred Qualifications:

  • Two years of related experience in higher education.
