The Executive Assistant provides high-level administrative support to the Vice President for Finance and Administration and to the entire division as needed and requested. The position ensures that the VP is organized, well prepared, and informed, and is responsible for managing the executive’s calendar and developing and maintaining organizational systems for the office, both electronic and hard-copy. The Executive Assistant serves as liaison between the executive and internal and external constituencies at all levels of the College and other organizations. The person serving in this position is required to maintain the highest degrees of confidentiality, integrity, and trust. Duties include developing meeting agendas, attending meetings, and taking notes; assisting with special events and meeting logistics; following up on assignments/unfinished business; preparing correspondence; working closely with finance and budget managers to compile annual budgets; processing payments for bills, including invoices for the College’s legal representation; coordinating and organizing job searches on behalf of the VP; scheduling campus open forums; answering phone calls, emails, and in-person inquiries; scheduling appointments; overseeing the filing system; assisting in hiring, training and overseeing part-time staff; reviewing and distributing mail; copying and faxing documents; making office purchases; making travel arrangements; compiling data and completing reports; and serving as an information resource. Other duties include assisting with special projects as assigned, including serving as P-card administrator, onboarding new employees, and assisting with the development of new forms and maintaining current forms.
This is an exempt, professional staff position. Employees of Harford Community College, including instructors for online and virtual courses, must be residents of Maryland or the contiguous states of Delaware, Pennsylvania, Virginia, West Virginia or the District of Columbia; non-residents are expected to relocate to meet this requirement.
