Job Summary
The Coordinator of Special Events and Protocol will work with internal and external clients to assist with planning, coordinating, promoting, and executing special events for the university. The Coordinator will maintain and communicate the University's policies and procedures for events on-campus; supervise a team of event coordinators and student workers; and work with internal and external clients.

  • Perform related duties as assigned to support the mission of the University
  • Evaluate services to ensure quality and client satisfaction
  • Recruit and hire student workers as needed
  • Maintain information and provide reports on clients, space utilization, and scheduling conflicts as required by internal and external stakeholders and governing organizations and the Division
  • Establishes, fosters, and maintains cooperative and professional relationships with sponsors, vendors, and other internal and external partners
  • Assist in educating internal and external partners regarding protocol, event standards, etiquette, and related issues to enhance partnerships and improved special event outcomes
  • Assist in effectively communicating event details to stakeholders involved with the production or execution of an event
  • Perform administrative functions as assigned by the Director for Economic Development and Community Relations and Chief of Staff
  • Analyze event requests for appropriateness and alignment with the University's mission, goals and initiatives
  • Supervise and lead a team of event coordinators and student workers as they serve internal and external clients to coordinate university events
  • Oversee the Office of Special Events & Protocol website and ensure that all information on the site is up-to-date and accurate, including policies and procedures, contact information, and other important information pertaining to events
  • Troubleshoot scheduling conflicts and other issues as they arise
  • Work collaboratively with the internal and external stakeholders to ensure each event is handled professionally and thoroughly from start to finish, including the planning stage as well as after-action billing and reporting
  • Use software (AdAstra) to appropriately approve event requests and meeting space reservations, including classrooms, conference rooms, meeting rooms, and ballrooms, as well as athletic and other outdoor spaces
  • Serve as a subject matter expert and resource for all policies and procedures pertaining to hosting events at Georgia Southern University, including, but not limited to minors on-campus, alcohol use, security, parking, and space utilization
  • Work with business services and other university partners to ensure accurate and timely billing

Required Qualifications
Educational Requirements
  • Bachelor's degree in Communications, Public Relations, Logistics or related field

Required Experience
  • Two or more years of experience in event planning
  • Two or more years of supervisory experience

Preferred Qualifications
Preferred Educational Qualifications
  • Master's degree in Communications, Public Relations, Logistics or related field

Preferred Experience
  • Three (3) or more years of experience working in event planning, specifically in higher education
  • Five (5) or more years of supervisory experience

Proposed Salary
$44,400 - $55,000
