Job Description

Under general supervision, the Library Assistant will independently perform basic administrative tasks applying standard library techniques. Library Assistant performs duties that require some knowledge of terminology, practices, systems, and procedures that are unique to a library setting. Incumbent is expected to multi-task and produce accurate work under deadlines despite frequent interruptions. Provides excellent customer service to library patrons and visitors, in a diverse multi-cultural environment. Maintains up to date data on library materials and reconciles accounting statements.


(50%) Circulation, Article Requests, Book Recalls, Shelving, Customer service, Training, Email communication with Faculty, Staff.

Specific tasks performed include but are not limited to receiving library materials, bibliographic searching, information services, circulation services. Position provides library users assistance, responds to basic inquiries or referring calls. Assists library patrons in locating materials and in answering informational questions. Assistant inputs new hires, and tracks terminations of Salk employees, ensuring library materials are returned and accounted for In Koha, our library automation database. Tracks books that are overdue, and processes returns. Assistant provides article requests to Salk scientists, PubMed searches, as well as funding resources. In support of the Visiting Scholar agreement Assistant will also provide training assistance to Salk scholars and communicate with partners at UCSD.

 (30%) Responsible for maintaining data entry in FileMaker, interlibrary loan data, article request data, purchase data and reconciling Visa purchases in Chrome River.

Processes article requests, inter-library book loans, and publication orders in FileMaker. Assistant is responsible for reconciling monthly Visa statement in Chrome River, and keeping accurate purchasing records. Tracks new hires and terminations of Salk employees. Ensures library materials are returned and accounted for, and new hires are given a Library account, and instruction for self-checkout in Koha.

 (20%) Other, such as maintaining common area, answer phone and library email, assist with archives, and filing.

Assistant will monitor Library common area, including computers, bookshelves, carrels, tables, and clean as necessary. Maintains library stacks including organizing and shifting of materials. Facilitates Library Manager in identifying, organizing, and maintaining Salk archival materials. Other duties, and special projects as assigned.



  •  Minimum 3 years' relevant experience in an administrative setting applying attention to detail, and adherence to deadlines
  • Experience with library operations and or similar customer service setting


  • Library administrative experience
  • PubMed searching knowledge



  •  High School Diploma or equivalent


  • AA or BS degree



  •  Strong attention to detail.
  • Strong customer service.
  • Excellent verbal and written communication skills appropriate for interactions with a broad array of individuals. Interpersonal skills must include tact, good judgment, diplomacy, and flexibility to relate to diverse scientific research staff, faculty, executive management, administrative staff, and external contacts
  • Proficiency with Word, Excel, and Mac hardware
  • Practical knowledge of the internet and effective searching techniques
  • Ability to retrieve library materials from local off-site locations, UCSD, Scripps.
  • General knowledge of office equipment, scanner, copier, fax
  • Demonstrates self-direction and initiative


  •  Library catalog knowledge


  •  Must be willing to work in an animal-related research environment
  • Satisfactory completion of the Institute's background investigation
  • Must be willing to sign a confidentiality agreement.


This position will constantly be adjusting focus, hearing, keying, seeing, talking, communicating, reading, reasoning, writing and working inside.
