Position Title: Administrative and Data Manager, Maine SBDC Campus: All USM locations City, State: Portland, ME Department: Small Business Development Ctr - PSBDC Bargaining Unit: UMPSA Salary Band/Wage Band: 3 Work Schedule: 8 -4:30 Statement of Job:

The Maine Small Business Development Centers (SBDC) provide comprehensive business management advice and education to Maine entrepreneurs and small business owners through a network of professional business advisors. There is currently an opening for an Administrative and Data Manager in Portland, Maine. This is a full-time, grant funded position.

The Administrative and Data Manager for the Maine SBDC has primary responsibility for managing the daily functioning of the Maine SBDC offices at the University of Southern Maine and the associated data systems. This position is responsible for administrative procedures that carry out the Maine SBDC's policies and procedures; for independently prioritizing and organizing the Program's client and non-client related workloads; and for assuring that the Program's daily activities run smoothly. 

A few of this position's essential functions are:

  • Designs, coordinates and maintains effective office policies and procedures for efficient and effective workflow of the Maine SBDC offices at USM. Compiles and writes all of the required grant reports from various stakeholders
  • Oversees the CenterEX client management data system. Ensures accurate data is captured and tracked. Designs and develops all necessary reports. Develops and creates the data upload files required by the US Small Business Administration.
  • Develops, interprets, implements procedures and policies for statewide client and training data entry and reporting to ensure consistency, quality, and compliance with federal, state and special project contract requirements, and provides solutions requiring a significant depth of understanding when problems or complex issues arise.  By law, all SBDC client advising information is confidential and cannot be released without the client's written consent.

The position is currently operating remotely using virtual meeting technology. Moving forward, the position will be based in a Portland office with flexible scheduling and the opportunity for some remote work.

Qualifications:

Required:

  • Bachelor's degree with five years relevant professional office experience.
  • Data management experience using databases, word processing, spreadsheets and accounting software programs  
  • Experience working with adult learners
