This regular, full-time, support staff position will work Monday through Friday, 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m., with flexible and/or extended hours during peak times.

Regular on-campus presence is expected for all KCC employees. Any flexible and/or hybrid work schedules are subject for review, approval, and/or change based on the needs of the College.

Position Summary
Under general supervision, maintain accurate and thorough records on all incoming and outgoing documentation associated with Financial Aid, electronic student files, run and troubleshoot related reports, and activities and special events. Provide expertise to all stakeholders regarding Federal Financial Aid process in its entirety. Communicate regularly with internal and external compliance authorities and stakeholders. Including but not limited to Kellogg Community College Foundation, Support Services, Upward Bound, community agencies, foundations and area high schools.

Kellogg Community College is located in Battle Creek, Michigan, a community of approximately 54,000 people. Leisure activities, natural resources and learning opportunities provide a foundation for residents. Located along the I-94 interstate, Battle Creek is within 30 minutes of Kalamazoo, 60 minutes of Lansing and Grand Rapids and within three hours of Detroit, Chicago and Indianapolis.

Physical Demands
The job responsibilities are performed in an office area and presentation venues. Travel by car required. The job has intermittent periods during which continuous physical exertion is required, such as walking, standing, sitting, stooping, bending, climbing, lifting material or equipment, some of which may be heavy or awkward (8 - 45 pounds). Typically requires regular use of one or more physical senses of medium intensity and long duration. Must meet reasonable deadlines, quotas or demands for accuracy, and, may be involved in some mildly unpleasant situations.

Minimum Qualifications
  1. Associate degree AND one (1) year of relevant experience OR one (1) year of post-secondary education and two (2) years' relevant experience OR three (3) years' relevant experience. At the time of application, attach unofficial transcripts showing successfully completed coursework, if applicable.
  2. Ability to work with MS Office suite, including Word, Excel, and Outlook or similar level applications at an intermediate level.
  3. Minimum of two (2) years of experience in an active, multi-tasked, automated work environment.
  4. Strong attention to detail.


Preferred but not Required
  1. Associate degree or higher from an accredited college or university.
  2. Entry-level experience with student information systems (SIS), such as Ellucian Colleague, Banner, etc.


Proposed Salary
According to the published support staff salary schedule, Classification Pay Grade 13, 2025-2026 starting hourly wage range, step one $22.28 to step five $26.82. Internal applicants may refer to Article 22, Section 5B.

Job Duties

Essential Function: Customer Service

Description:
  • Provide high quality customer service in difficult and uncomfortable situations to students, staff, community stakeholders and service providers. This is done through various means: phone, email, in-person, and postal mail. Requires an in-depth understanding of a broad scope of processes and utilize available technology to assist in the information exchange.



Essential Function: System Processing

Description:
  • Develop, execute, maintain, troubleshoot, and continually evaluate electronic processes, utilizing various forms of technology, Dept. of Ed (DOE), interfaces, and scanning software to provide timely communication to and from students, parents, staff, and stakeholders.
  • Provide process analysis in order to troubleshoot issues, develop, implement, and train individuals on any changes or enhancements.
  • Manage, document and process file imports, and exports along with FA Module set-up, development, and continual troubleshooting Colleague issues.



Essential Function: Communications

Description:
  • Review and update financial aid forms and documents.
  • Post Financial Aid forms and documents and notifications of office updates and policies to the various modes of Financial Aid communications.
  • Maintain and update information on FA webpage.



Essential Function: Professional Development

Description:
  • Continually enhance and maintain knowledge associated with the Institution and Financial Aid policies and procedures for various aid programs. (FAFSA completion, regulatory compliance, Colleague FA Module, and various other resources available).



Essential Function: Administrative Support

Description:
  • Run reports, pull data, and provide data entry support for administrative staff.
