Advancement Coordinator - Grand Rapids Region (Part-time)

Summary of Position:
This individual will report directly to and be responsible for providing administrative support to the Executive Director of Leadership Giving and Relationships – Grand Rapids region. This position requires a significant degree of independent decision-making, interacts with tact and diplomacy with the University community, donors, community members and other University constituents. 70-75% of position function will be done with a remote work environment, however this position requires attendance at events in Grand Rapids and Big Rapids areas. Flexibility of work schedule and location is expected.
Associate degree or higher in related field.
Required Work Experience:
2 years of work experience in development, fundraising, sales, direct marketing or related field.
Required Licenses and Certifications:
Additional Education/Experiences to be Considered:
Preferred – 2 years of work experience in higher education or in other large complex organizations.

Any equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities may be considered. Equivalency for education is two years of related work experience equals one year of education.
Prepare advancement correspondence, acknowledgment, proposal and other written materials as needed.
Coordination and administrative support for the Ferris Grand Rapids Council.
Create and maintain prospect/donor files as well as other advancement office files.
Enter, maintain and retrieve information from the advancement database.
Organize and facilitate meeting schedule and coordinate dates and times, venues, attendance, agenda and facilities and provide administrative support and follow-up matters arising for meetings.
Coordinate the Grand Rapids donor cultivation and solicitation events including the Growing Opportunity event and the Dawg Catcher event.
Perform relevant research to enhance prospect research.
Develop and maintain positive relationships with University collages, Grand Rapids community members and other University constituents.
Responsible for the smooth functioning of the Leadership Giving and Relationships Office and coordinating efforts with various University offices.
Regularly deal with diverse matters requiring a broad knowledge of the University’s organization operations and policies necessary to ensure appropriate decision-making protocols are followed.
Assist with budget monitoring and records maintenance.
Prepare and process office documents such as purchase orders, contracts/service agreements and all Financial Services documents for travel requests and expense reports for the Executive Director of Leadership Giving and Relationships – Grand Rapids Region.
Work with a variety of confidential documents and confidential issues.
Compose, draft and proofread and/or edit correspondence, reports, meeting minutes and other materials.
Skills and Abilities:
Communicate effectively, both orally and in writing, utilizing the rules of proper grammar, correct spelling, punctuation and proper arrangement of information when preparing correspondence and other documents.
Coordinate project workflow in an efficient manner, highly organized, able to multi-task.
Proficient in Microsoft Word, Excel, Outlook, PowerPoint, main merge functions and database and records management.
Tactful and courteous always. Successfully interact with a variety of students, faculty, staff, alumni and visitors in a variety of situations.
Plan, organize and make sound judgments and decisions.
Ability to work a varied work schedule including evenings and weekends occassioanlly as needed.
