Salary Range: Up to $48,000 annualized, commensurate with education, experience and qualifications.

Hours: up to 40 hours per week, exempt.

Essential Functions

Job Summary

The Gallery Preparator facilitates the development and presentation of exhibitions; responsibilities include development, preparation, and installation of permanent collection displays and temporary exhibitions. This position also implements and manages projects in collaboration with the Director of Exhibitions, faculty, researchers, and facilities coordinators.

Core Responsibilities

  1. Directs the design, fabrication, and installation of art exhibits.
  2. Evaluates exhibition site conditions, creates construction documents, develops systems and procedures.
  3. Provides cost estimates and purchase materials to support exhibitions.
  4. Conducts project planning and scheduling; coordinates installations and traveling exhibitions by supervising tasks with internal and external partners.
  5. Performs various gallery maintenance functions to ensure proper upkeep of the facility.
  6. Communicates and coordinates logistics and details with facilities, Conferences and Events, and other partners to ensure projects are compliant with code, ADA, fire safety, and/or other safety concerns.
  7. Provides strategic advice and guidance related to the maintenance of exhibits and art pieces.
  8. Researches new materials, production techniques, and technical advances.
  9. Supervises staff members, including hiring, development, and performance management.
  10. Coordinates efforts for student juried, BFA and MFA exhibitions.
  11. Collaborates, consults and coordinates with faculty and students to facilitate installation of faculty, juried student, BFA and MFA exhibitions.
  12. Provides operational and administrative support to the Director of Exhibitions.


Required Qualifications

  • Bachelor's degree from an accredited institution.
  • One (1) year of relevant experience.
  • This position requires the ability to maintain the security and integrity of UTSA and its infrastructure.


Preferred Qualifications

  • Bachelor's degree in arts or fine arts with a focus on Visual Arts.
  • Two years prior experience with art handling, installation, or preparation.



Knowledge, Skills and Abilities

  • Basic understanding of clerical procedures and systems such as record-keeping and filing.
  • Demonstrated independent decision-making and problem-solving ability.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite.

Working Conditions

  • Southwest Campus/Main campus
  • Office/Gallery environment.
  • Ability to travel to and from meetings, training sessions or other business-related events.
  • Occasional after hours and weekend work or overtime may be required.


Physical Demands:

  • Sedentary work; sitting most of the time. Jobs are sedentary, if walking and standing are required, only occasionally.
  • Exerts up to 10 lbs. of force occasional.


This position will be primarily located on UTSA Southwest campus. Travel and parking expenses are the employee's responsibility.
