DESCRIPTION


Otterbein University is in search of a Coordinator, Experiential Learning and Off-Campus Study, who is responsible for supporting students and faculty through executing our off-campus study and immersive experience programming. This is a full-time, non-exempt position working 40 hours a week, 52 weeks a year. They will report to the assistant director of experiences in student success and career development.

JOB RESPONSIBILITIES


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Study Abroad/Off-Campus/International Programs

  • Study Abroad and Off Campus Program Advising
  • Advising. Mentor students on opportunities available through exchanges, direct enrollment, and third-party providers. Assist students with application submission and processing of Otterbein specific forms.
  • Student Support. Support students through the exploration, application, preparation, off campus study, and return phases of any program.
  • Web/Database management. Maintain up-to-date program information and student records in Banner or relevant system. Produce timely and accurate reports of student participation in Off Campus Programs.
  • Study abroad marketing. Organize study abroad fair(s) annually. Facilitate third-party provider campus visits. Oversee updates to partner program brochures. Integrate study abroad in the admission process and orientation programs as requested.
  • Crisis management. Work with the Assistant Provost, and relevant campus offices, to maintain crisis management plans and disseminate this information to other offices on campus.
  • Financial Aid. Collaborate with Financial Aid to communicate about Study Abroad opportunities and award selections. Support awarding process for travel endowed awards and maintain communication with financial aid.
  • Transcript evaluation. Assist in the evaluation of transcripts/credit transfers of returning Off campus students. Coordinate record keeping with the Registrar's Office.
  • Records Management. Maintain detailed and accurate records of all required forms for any student completing an Off-Campus study program. Strong attention to detail is required.




Faculty-Led Programs

  • Student advising. Assist students in processing documents necessary for participation.
  • Faculty Support. Provide support such as departure orientations, assistance with travel plans, record keeping and student coordination as needed.
  • Promotion. Help promote all travel courses.



International Program Support

  • Work collaboratively with the Assistant Provost to support International Programs on campus. Includes, but not limited to, participating in committees related to internationalization.



Exchange Student (Inbound) Advising

  • Outreach. Support Office of International Admission (OIA) with recruitment of exchange students from partner universities. May include armchair recruitment as well as visits to partner universities once or twice a year.
  • Application Management. Review application materials and make admission decisions for exchange applicants.



Partner Universities/Program Providers

  • Attend conferences (budget permitting) and network to assist in identifying universities that Otterbein may want to explore formal or informal partnerships.
  • Maintain accurate records of contacts, and work collaboratively with OIA and the Office of Risk Management to update and maintain agreements.



5 Cards Program Support

  • Work collaboratively with the Associate Vice President for Academic Affairs and the Assistant Director of Experiential Learning to support the 5 cards program through Spring 2025 when the program ends.
  • Provide administrative support for the 5 Cards funding application and award process, including, but not limited to: management and design of the application, communication with student applicants and award recipients, communication with faculty/staff sponsors, collaboration with the Business Office for fund distribution, and tracking student completion of the Cardinal Experience.
  • Provide administrative support for the 5 Cards application process, including, but not limited to: ongoing oversight of applications in progress, answering questions for students or sponsors on how to complete applications, provide feedback on application process in general.
  • Serve as a lead on marketing and promoting the 5 Cards program.



Otterbein READY

  • Work with the Assistant Director, Experiential Learning, to execute Otterbein READY initiative. Tasks could include assisting with design and implementation of funding processes, tracking of student experiences, and promoting the program to the campus community.
  • Assist in the development of additional off campus study opportunities as a part of the READY program.
  • Serve on the Otterbein READY Advisory and Immersive Experience Committee




General

  • Serve as member of the Student Success & Career Development team. Attend staff meetings, participate in all office events and collaborate on student success initiatives. Assist with drop-in student advising during peak office times.

QUALIFICATIONS


QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed above are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE: A Bachelor's degree is required. Master's Degree preferred. At least 2 years experience working with undergraduate students in advising or student support capacity. Preferred experience supporting international programs or study abroad.

DESIRABLE: Extensive international study and/or living experience. Study abroad program development and management. Independent critical thinking and problem solving skills. Experience advising students on Study Abroad programs and general knowledge of the Otterbein curriculum. A demonstrated commitment to diversity and inclusion.



CERTIFICATES, LICENSES, REGISTRATIONS: N/A



LANGUAGE SKILLS: Strong communication skills. Must be fluent in both written and spoken English; excellent grammar skills are required. Exceptional customer service skills are essential.



MATHEMATICAL SKILLS: Excellent mathematical skills.



TECHNICAL SKILLS: Excellent computer skills to include Word, PowerPoint and Excel. Proficiency in shared file storage (Such as Google Drive) and database management.

REASONING ABILITY: Must have excellent customer service skills and be able to perform under pressure to deal with a variety of situations. Must be able to work independently with little or no direct supervision. Must be well organized and possess attention to detail. Must exercise a high level of initiative and have the ability to prioritize. Must be a team player.
