Job Description Summary
The Wharton AI & Analytics Initiative (WAIAI) is advancing cutting-edge applications of AI and data science in modern business, with the keen understanding that artificial intelligence is transforming how we live, learn, and work. WAIAI spearheads innovative student learning experiences, faculty research opportunities, and thought partnerships with industry experts and practitioners. Our work also extends to K-12 education, preparing the next generation to leverage AI and data science to its full potential, as well as executive education to train the existing workforce in modern AI and statistical methods.
Job Description
The Assistant Director of Events & Engagement will provide day-to-day operational support to WAIAI and its affiliated centers and will lead the execution of conferences, convenings, events and student programs.
Responsibilities include:
Work with faculty and staff leadership of WAIAI's affiliated centers to create and execute an annual plan for industry and academic conferences, student experiential learning programs, industry and research convenings, and student competitions.
Manage all event logistics for a portfolio of in-person, virtual, and hybrid events for WAIAI and our affiliated centers. This includes developing event budgets, leading registration processes using technology platforms, leading all event logistics, and assisting with speaker and sponsor management.
Facilitate communication with students, alumni, and organizations to move projects and events forward. Assist in the management of relationships with student organizations across Wharton and Penn to ensure programming is meeting student needs and interests.
Streamline event marketing and registration processes using technology platforms. Serves as the event management platform resident expert, building and managing event registration for flagship events, establishing event registration templates, and training WAIAI staff.
Work with the WAIAI marketing and communications team to manage communication for all events and student programs and coordinate all branded materials and promotional items. Communicate event marketing deadlines, expectations, and needs with stakeholders.
Assist in maintaining monthly, semester and annual event reports and track KPIs. Analyze data and report findings to develop strategies and best practices and inform decision-making.
Provide operational support to WAIAI and center faculty and staff as needed, including scheduling meetings, coordinating and executing meeting logistics and agendas, generating purchase orders for vendors and assisting with expense reconciliation.

Bachelor's Degree and 3 to 5 years of experience or equivalent combination of education and experience is required. The ideal candidate will have event experience. Must be able to work independently, multi-task, maintain confidential information and work with a diverse population. Strong interpersonal skills and ability to work on a team; excellent communication skills (speaking, writing, and listening); flexibility and creative problem solving.

$43,919.00 - $65,000.00 Annual Rate
Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level. Internal organization and peer data at Penn are also considered.
