Operations Support Manager

Facilities Management

Full Time / Professional

Primary Responsibilities

  • Supervise Operations Administrative Assistant position and scheduling of office student employee(s)
  • Assess and process incoming work order requests including account number, billing charge rate, and responsible trade
  • Assist leadership in developing and maintaining preventative maintenance work orders for equipment and systems, including HVAC, boiler operations, electrical, plumbing, and elevators
  • Oversee the key control system, including issuing, tracking, and retrieving keys for University Facilities
  • Maintain accurate records of key assignments and lost/stolen reports
  • Manage the state surplus auction process ensuring proper disposal of university assets following state and university policies
  • Oversee fixed asset reporting ensuring accurate records of Facilities Management owned equipment and assets
  • Participate in the on-call rotation for Facilities management responding to after-hour facility emergencies
  • Compile data, verify the accuracy, revise incorrect information, and submit the annual Missouri Department of Economic, Division of Energy fleet report
  • License and registering university-owned vehicles and title work of new vehicles
  • Schedule and review testing reports for fire alarms, fire extinguishers, sprinkler systems, hood cleaning, and Ansul systems; Generate work orders for necessary corrections
  • Oversee Personal Protective Equipment testing, replacement, and distribution ensuring compliance with university safety policies



Required Qualifications


  • Bachelor's degree or combination of 5 years or more of education, knowledge and/or experience in maintenance management
  • Possess a valid driver's license
  • Supervisory experience
  • Knowledge of building maintenance / construction terminology
  • Knowledge of purchasing procedures and purchasing terminology
  • Proficient computer skills and experience including Microsoft Office software and database management software
  • Strong attention to detail with the ability to verify and reconcile data
  • Excellent written and oral communication skills
  • Strong organizational and analytical skills
  • Demonstrated ability to handle multiple tasks with frequent interruptions while still reaching completion of tasks when scheduled, with accuracy
  • Ability to be flexible to respond to emergency needs and provide coverage in the absence of the other Facilities Management supervisors
  • Demonstrated understanding of and commitment to customer service, while working across varying groups of people, departmental staff, campus community, and vendors
