DESCRIPTION


Otterbein University is searching for a Coordinator of Alumni & Family Engagement who helps to strengthen relationships between Otterbein's 28,000+ alumni, current families, and other key constituencies through programming and engagement. This role is responsible for providing project and program support, coordinating events, facilitating communications, and working with internal and external stakeholders to execute project plans that align with the strategic goals of the Office of Engagement and Division of Institutional Advancement. On-site support for events and activities, including nights/weekends and travel, may be required. This full-time, exempt, administrative staff position will report to the Director of Alumni & Family Engagement.

JOB RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

50% - Engagement Programming and Events:
Working collaboratively with internal and campus partners, the position assists with the coordination of programs and events for alumni and families that increase engagement with and fulfill the mission of Otterbein University, which includes but is not limited to:

  • Oversees the Young Alumni Board and Student Alumni Board, as part of the larger alumni volunteer framework, facilitating the meeting schedules and communication outreach, assisting with events and other initiatives.
  • Assists with event programming for the Office of Engagement including but not limited to Homecoming & Family Weekend, reunions for select classes and affinity groups, and other signature events.
  • Implement strategies under the guidance of the Director to support giving initiatives in conjunction with the Office of Annual Giving. Work in close collaboration with the Office of Events & Conferences on event logistics and implementation.


35% - Alumni and Family Marketing & Communications:

  • Design and build segmented content for the monthly Cardinal E-news, eMarketing campaigns, and other digital outreach as needed, which may include texting.
  • Adhere to the University brand standards while developing creative content for use in marketing and communications.
  • Adhere to and use the division's constituent communication calendar as a tool to streamline outreach to key constituent groups, working collaboratively with the Director and other members of IA to ensure a coordinated strategic approach. Researching, developing, and executing a social media strategy to expand our reach and engagement with alumni and families
  • Create and manage event registration pages using campus software and work with the Director to maintain alumni webpages using the content management system. Develop ideas and oversee creation of virtual series in collaboration with other campus partners.


15% - Miscellaneous Duties:

  • Assists the Engagement team with the weekly operations of the Lifelong Learning Community classes, as needed.
  • Maintain adequate contact reports, metrics, and data of alumni and family contact within the IA database.
  • Represent the Engagement team in meetings and at events, as needed.
  • Represent the Office of Engagement, Institutional Advancement, and Otterbein as a member of the Independent College Advancement Associates (ICAA) or other applicable professional organizations.
  • Serves on University governance committees and participates in Staff Assembly meetings and functions, as able.
  • Assists with other duties, as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE:

  • A minimum of two years professional experience in a related field is preferred.
  • A bachelor's degree is required for the position.
  • Must work as a team member and work effectively with volunteers.
  • Self-motivated and able to balance competing deadlines and manage multiple and often shifting priorities.
  • Ability to build strong relationships and professionally represent the University brand.
  • Experience working with social media platforms to engage audiences.
  • Willing to travel and maintain evening and weekend hours occasionally.
  • Strong organizational, oral/written communication, creative design, writing, and leadership skills, and must be willing to take initiative.
  • Special event planning and social media communication with public relations experience is highly desirable.
  • Previous success in program/event planning and implementation in a college, corporate, or non-profit setting preferred.
  • Design skills using Constant Contact, Canva, Adobe Creative Suite, and Microsoft Office Suite preferred.

LANGUAGE SKILLS: Ability to understand and work with all nationalities over the phone and in person. Solid writing, proofing and editing skills. AP style experience recommended.

TECHNICAL SKILLS: The candidate must have excellent computer skills and should have experience using database software. Applicants must be able to demonstrate proficiency in Microsoft Office products. Candidates should have experience actively utilizing social media. Experience using Google, Microsoft Office Suite, Constant Contact, Canva and content management systems including WordPress is desirable.
