Responsibilities:

  • Prepare all checks and accompanying materials for entry into the advancement database.
  • Maintain acknowledgment letters in the advancement data system in coordination with the Director of Stewardship and Donor Relations.
  • Coordinate and prepare the mailing and storing of letters.
  • Coordinate matching gift submissions, update donor employment information, company addresses and information and follow-up with companies.
  • In coordination with the Director of Stewardship and Donor Relations, follow up with donors on outstanding issues as necessary.
  • Enter and track all pledges - annual, capital, planned gifts.
  • Assist with the maintenance of the advancement database and update donor information and other records as necessary.
  • Act as back up to the Director of Advancement Services, providing donor and demographic reports as needed.
  • Process online gifts, monthly payroll gifts, crowd funding gifts and gifts received through other channels as necessary.
  • Collaborate with Business Office to process and record gifts of stock.
  • Coordinate with Business Office for monthly gift reconciliation.
  • Coordinate pledge reminder process, sending reminders as needed.
  • Assist the Director of Advancement Services in the training of IA staff and students on the advancement database and CRM functions.
  • Create and maintain documentation of processes.
  • Perform other duties as requested, delegated, or assigned.



Qualifications:

Education and/or Experience:

  • Bachelor's degree, or two to four years of related experience, preferably in a higher education setting and/or financial institution.
  • An understanding of basic accounting practices and/or IRS regulations.
  • Knowledge of Raiser's Edge or other advancement data products and report writing software desirable.
  • Knowledge of Microsoft Windows, Excel, Word, and Outlook.

  • Must be able to work well in advancement services functions and respond to colleagues across campus as customers for those services.
  • Strong written, interpersonal, and oral communication skills.
  • High energy level, self-motivated, and self-directed to design and complete complex projects.
  • Demonstrates the skills and desire to: multi-task and meet deadlines with high-level of accuracy; be a team player; work collaboratively; ability to maintain accuracy; willingness to learn the principles and techniques relevant to alumni engagement and all elements of development.
  • Demonstrates a high level of integrity.
  • Candidates must be willing and able to support and advance the University mission.



Other:

  • Flexibility to work occasional nights and weekends as needed, i.e., Homecoming, donor dinners, golf tournament, GivingTuesday, etc.


Compliance:

  • Employees may be required to report violations of law under Title IX and the Jeanne Clery Disclosure of Campus Security Policy and Crime Statistics Act (Clery Act). If this position is identified a Campus Security Authority (Clery Act), you will be notified and provided resources for reporting. The Clery Act requires all prospective employees be notified of the availability of the Annual Security and Fire Safety report.
