ADMINISTRATIVE SECRETARYPosition Number: S-3454
Position Summary:Duties performed are of a senior secretarial nature supporting the Directors and Vice President of University of Communications. This is the second most senior level secretarial job, and while it incorporates elements of other levels, it has a majority of effort associated with specialized secretarial support services supporting the University Communications team. Provides office professional support and serves as coordinator for projects, events, and operational functions that require a high level of independence and autonomy. Acts as liaison between the university communications office and the colleges and other offices within the university. Works collaboratively with and supports the executive secretary to the Vice President of University Communications as needed or requested.
Required Qualifications:High school diploma or GED.
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications:SAP experience.
Experience proofreading and editing correspondence.
Experience supporting a team of administrators.
Duties & Responsibilities:Primary support for the Directors of university communications.
Manages and coordinates multiple schedules for Directors and project owners, as needed.
Coordinates travel arrangements for directors, director’s guests, and others, as requested.
Works closely with and provides a wide variety of administrative support to the University Communications Teams (Integrated Marketing, Communications, Digital Strategy, and Visual Media).
Responsible for event planning and implementation of various events for the department. Including, but not limited to reminder/confirmation emails for project participation and follow-up.
Manages departmental purchasing functions (office supplies, equipment).
Handles the department email box and main telephone line by responding and following up to requests by internal/external contacts as appropriate.
Supports and assists Directors throughout the staff recruitment process including; schedules interviews, processes requests, serves as a liaison with Human Resources.
Processes all personnel transactions for temporary and student employees.
Assists in processing and managing department staff and student payroll and maintaining associated records.
Manages keys, mail, parking passes, and on-campus dining meal plans.
Maintains department equipment inventory documentation.
Prepares and processes all University Communications, particularly Media Graphix billing (payables/receivables).
Assists the Executive Secretary of University Communications as needed.
Performs other duties as assigned.
