Assistant Director, Admission Operations & Records

Summary:
Ensures the efficiency, accuracy, and effectiveness of admission processes within the Office of Admissions and Financial Aid. Oversees the management of admission operations and maintains comprehensive records related to student enrollment, contributing significantly to NEOMED’s recruitment and enrollment goals.

Principal Functional Responsibilities:
Admission Process Management: Coordinate and execute admission processes, including application review, evaluation, and decision-making procedures. Collaborate with admission staff to develop and implement strategies for attracting and enrolling a diverse and talented student body. Monitor and optimize admission workflows to streamline processes and enhance operational efficiency. Ensure compliance with institutional policies, accreditation standards, and relevant regulations governing admission practices.

Records Management: Oversee the maintenance and accuracy of student admission records, including applications, transcripts, test scores, and other relevant documents. Implement and maintain campus-based ERPs (e.g. Banner) for record-keeping, ensuring data integrity and security. Develop protocols for the retrieval, retention, and disposal of admission-related records in accordance with institutional policies and legal requirements. Document all processes and provide training and support to admission staff on record-keeping best practices and data management protocols.

Technology Integration: Collaborate with IT professionals and other enrollment services and academic offices to optimize the use of technology in admission operations, including CRM systems, document management software, and online application portals. Identify opportunities for automation and digitization of admission processes to enhance user experience and administrative efficiency. Stay informed about emerging technologies and industry trends relevant to admission operations, recommending innovative solutions to enhance departmental effectiveness.

Reporting and Analysis: Generate regular reports on admission statistics, trends, and outcomes to inform strategic decision-making and planning efforts. Generate admission-related benchmark and census reports for university and non-university stakeholders. Conduct data analysis to identify areas for improvement in admission processes and student recruitment strategies. Present findings and recommendations to senior leadership, contributing to institutional efforts to achieve enrollment goals and enhance the student experience.

Supervision and Leadership: Provide leadership, coordination and supervision of assigned staff. May serve on committees or serve as a liaison as directed.

Other Duties: Perform other duties as assigned.

Qualifications:
Bachelor’s degree. Three years of progressively responsible experience within a higher education institution. Knowledge of and experience with one or more campus-based IT systems (e.g. Banner, People Soft, Power Campus, etc.). Proficient in Microsoft Office Suite.

Preferred Qualifications:
Three years in an enrollment area such as admission, the Registrar’s office, or student financial assistance. Experience with office management/supervision. Knowledge of and experience with Banner system.

Physical Requirements:
Must be able to utilize a phone, computer and screen and other office equipment. Ability to work occasional evening hours and infrequent weekend hours on occasion, as needed to complete work. Limited local travel on infrequent occasion may be required.
