Job Summary

The Administrative Assistant III supports the overall mission of the Office of Advancement, to include both Georgia Gwinnett College and the Georgia Gwinnett College Foundation.

Working under the supervision of the Associate Vice President for Advancement, the Administrative Assistant III carries out administrative management responsibilities, performs a variety of budget related duties, and manages daily operations for the Office of Advancement.

Responsibilities

Provides administrative support to the Office of Advancement leadership
Manages the office and provides front office coverage
Monitors office budgets, enters data, communicates with the Office of Budget and Finance to resolve issues or ask questions; reconciles monthly purchasing; completes and submits College and Foundation expense reports, prior approvals, and payment requests; prepares travel and expense reports for executive leadership; prepares monthly statements for Foundation accounts, processes purchase orders, requisitions and accounts payable invoices. Serve as a P Card holder for the department
Supports daily operations of the Office of Advancement, with primary responsibility for supply ordering, management and organization, reporting of suite maintenance issues, and office suite upkeep
Provides support with calendars, Microsoft Office applications, Raisers Edge, 25 Live, Financial Edge, Web Purchasing, PeopleSoft and coordination with other offices/staff; arranges appointments and meetings, reserves rooms and arranges parking for internal and external meetings, including serving as primary point-of-contact for campus requests to use the Advancement Suite conference room; records call reports, pledge reminders and performs other basic data entry in Raiser's Edge
Supports the Advancement Services gift receipting process, with primary responsibility for opening mail, routing checks appropriately, preparing acknowledgements and pledge reminder letters for signature
Participates in the delivery of Advancement events and meetings, including set-up and staffing support, with primary responsibility for receiving RSVPs for major events and updating attendance reports in Raiser's Edge; duties occasionally require schedule adjustments to allow work on early mornings, evenings, and weekends
May supervise Student Workers; to include the following: interview, hire, train, monitor and approve students' timecards
Performs other duties as assigned

Required Qualifications

2 Year / Associate Degree or equivalent combination of education and experience
Three years relevant experience

Preferred Qualifications

4 Year / Bachelor's Degree
Experience with, and proficiency in the use of Adobe Acrobat and Publisher
Experience with, and proficiency in the use of Raiser's Edge
Experience in Advancement or a related field in higher education
Experience with Principles of Accounting

Knowledge, Skills, & Abilities

Skills and technological proficiency with Microsoft Office and other software applications
Skills in organizational management and prioritization
Ability to handle sensitive and/or confidential material and information appropriately in all circumstances
Ability to work cooperatively as a member of a team, with a high-level of collaboration and strong communication and writing skills
